Job Name: Project Coordinator & AnalystContract Duration: 12 months (Start ASAP)Work Location: Toronto, ONWork Model: Hybrid – 3 days in office (Tuesday, Wednesday, Thursday)We’re looking for a detail-oriented and proactive Project Coordinator to support our project leadership team in delivering complex initiatives efficiently and on time. This role involves close collaboration with stakeholders, senior leaders, external vendors, and cross-functional teams to ensure seamless project execution and communication.Key ResponsibilitiesProject CoordinationManage and maintain the full project calendar, including scheduling meetings, checking availability, and ensuring video conference details are in place.Track and follow up on project tasks, milestones, issues, and risks—providing consolidated status updates to the Project Manager.Attend and document project meetings, capturing key discussion points, decisions, and action items.Coordinate communication among stakeholders to ensure alignment and timely progress.Administration & ReportingPrepare high-quality materials and reports using MS PowerPoint, Excel, Visio, and Word.Manage project documentation in MS SharePoint, including file organization, permissions, and structure.Support project financial administration: pull financial reports, create executive summaries, analyze data, and collaborate with finance teams on accruals, purchase orders, receipts, and invoicing.Provide accurate and timely financial updates to project leadership.QualificationsEducation: College Diploma or Bachelor’s Degree (mandatory)Experience: 5–6 years of experience in project coordination, administration, or a similar roleStrong skills in MS Excel, MS Visio, and MS Office Suite; beginner-level SQL knowledge is an assetExcellent organizational, written, and verbal communication skillsSelf-starter with strong problem-solving abilities and attention to detailCollaborative, results-driven mindset with the ability to meet deadlines and manage multiple priorities
