Job Description

Project Planning Support Help the Project Manager develop project plans, schedules, and milestones. Prepare and maintain project documentation, such as project plans, timelines, status reports, and risk logs. Organize project schedules, ensuring that milestones and deadlines are clearly communicated and met. Coordinate project activities and ensure they are aligned with the project schedule. Communication and Coordination Act as a point of contact between the project team, stakeholders, and clients. Facilitate communication between team members, ensuring everyone is on the same page. Organize and schedule meetings, keeping minutes and following up on action items. Reporting Track the progress of project tasks and milestones. Prepare regular reports for management, outlining project status, risks, and issues. Documentation and Record Keeping Maintain project documentation, including contracts, status reports, and other project-related files. Ensure all documentation is up to date and stored in a centralized location. Risk Management and Problem Solving Identify potential risks and assist in creating mitigation strategies. Help resolve project issues and escalate concerns to the project manager when necessary. Quality Assurance Ensure that the issues/concerns raised by the client are timely addressed and resolved. Assist in conducting quality audits and ensure corrective actions are taken where necessary. Client and Stakeholder Support Provide regular updates to stakeholders on project progress. Address client inquiries or concerns related to project deliverables. Administrative Support Handle administrative tasks like arranging travel, preparing presentations, and coordinating team activities. Support the project manager with day-to-day tasks to keep the project on track. Requirements IT Skills: Basic knowledge of IT infrastructure, networks, and cloud computing. Documentation: Ability to create and maintain project documentation, including project plans, schedules, and status reports. Communication: Excellent verbal and written communication skills to interact with team members, stakeholders, and clients. Organization: Excellent organizational skills to manage multiple tasks and deadlines. Problem-Solving: Ability to identify and resolve project issues efficiently. Teamwork: Strong collaboration skills to work effectively with cross-functional teams. Adaptability: Flexibility to adapt to changing project requirements and priorities. Project Management Fundamentals: Understanding of project management methodologies (e.g., Agile, Waterfall). Project Planning: Ability to create project plans, timelines, and resource allocations. Risk Management: Identifying and mitigating potential project risks. Change Management: Managing changes to project scope and requirements.
