We work with brands and agencies across Canada to deliver engaging, high-quality brand experiences at events, tradeshows, and experiential activations.Position Overview:We are seeking a highly organized and proactive Project Coordinator to support our Project Managers and company leadership in executing multiple projects across fabrication, installation, and event environments.The ideal candidate will assist in managing project documentation, scheduling, cost tracking, and coordination between internal teams—including Operations, Warehousing, and Production. Experience with Asana (or similar project management tools) is a strong asset, as much of our workflow and communication happens through digital platforms.This is a great opportunity for someone looking to grow into a Project Manager role in the tradeshow or experiential marketing industry.Key Responsibilities:Project Coordination & SupportAssist Project Managers in preparing project schedules, timelines, and task lists.Track project progress and update status in Asana or similar PM software.Support the preparation of quotes, purchase orders, and budget reconciliations.Organize project documentation and ensure files are up to date and accessible.Communication & CollaborationCoordinate between departments (Operations, Warehousing, Production) to ensure smooth project execution.Communicate task updates, material needs, and deadlines to internal teams.Schedule meetings, take notes, and distribute follow-up actions.Logistics & AdministrationSupport logistics planning for tradeshows, installations, and shipping.Assist with booking travel, arranging equipment, and confirming site details.Track shipments, deliveries, and project materials as needed.Financial & Reporting SupportHelp maintain project budgets, track expenses, and reconcile costs.Assist with invoice preparation and cost reporting.Required Qualifications & Skills:Experience: 1–3 years of coordination or administrative experience (preferably in tradeshow, fabrication, event production, or related field).Technical Skills: Experience with Asana or similar project management software is a strong asset.Organization: Excellent multitasking, attention to detail, and time management skills.Communication: Clear and professional communication with internal teams and clients.Adaptability: Able to adjust to changing priorities in a fast-paced, creative environment.Team Player: Works collaboratively and takes initiative to support the broader team.Why Join SEQUOIA:Be part of a creative, fast-moving team that builds and delivers exceptional brand experiences.Opportunity for professional growth and development within the event and fabrication industry.Competitive compensation and benefits package.Work on exciting projects for national brands and agencies across Canada.If you’re organized, collaborative, and eager to build a career in experiential marketing, we’d love to hear from you.
