Job Description SUMMARY The Proposal Coordinator will act as a generalist for all things marketing within the firm. The coordinator will drive marketing tasks for our market segments and emerging market segments preparing RFPs, RFQs, SOQs, submittals, proposals, presentations, and any other business development or marketing related material that will further the growth goals of the company.ResponsibilitiesPrimary Essential Functions Participate in project kickoff meetings and provide input on the production scheduleLead proposal efforts by compiling and organizing information such as project descriptions, narratives, and resumesCoordinate, format, write, edit, and proofread proposals, statements of qualifications, and related marketing materialsManage customized proposals by gathering input from various departments to meet deadlinesOccasionally deliver proposals and coordinate with vendors, subconsultants, and clientsSecondary Essential Functions Oversee the presentation process after a proposal shortlist is achievedAssist with design of covers, organizational charts, advertisements, marketing materials, web updates, and presentationsUpdate and maintain a polished project information databasePerform miscellaneous tasks promptly, as neededEnsure brand guidelines are adhered to across all materialsParticipate in ongoing training effortsAssist in proposal peer reviewsDeliver exceptional client service throughout the proposal processPerforms other functions, as requestedQualifications3+ years of marketing/writing-related experience in a high-volume environment.Bachelor’s degree in marketing, journalism, communications, or similar fields.Proficiency in Adobe Creative Cloud applications (InDesign, Illustrator) required.SkillsMust be flexible, self-motivated, able to prioritize multiple tasks, coordinate shifting priorities, respond to short-term deadlines, and carry a heavy and diverse workload.Strong oral and written communication skillsExcellent time management and ability to meet deadlinesStrong organizational and process management skillsCollaborative team player with a professional demeanor
