Queensland State Archives (QSA) connects Queenslanders with their past, the histories of their families, the local community and the state by providing access to Queensland’s most significant historical records. As the Transfers Officer, you will manage QSA’s archival repositories and oversee the transfer of permanent public records to the archives. You will provide advice and guidance regarding the transfer process and requirements, as well as creating and implementing policies and procedures relevant to the archival transfers program and repository management.
If you have skills and experience in collection management associated with the transfer and accessioning of records, records handling, repository management, as well as the use of collection management systems we would love to hear from you!As the Transfers Officer, you will be responsible for managing Queensland State Archives' (QSA) archival repositories and overseeing the transfer of permanent public records in all formats, including digital records, to the archives.
You will provide advice and guidance regarding the transfer process and requirements, as well as creating and implementing policies and procedures relevant to the archival transfers program and repository management. You will work collaboratively in a dynamic team engaging with a broad range of internal and external stakeholders. In This Role You Will Oversee and manage activities relating to the transfer of permanent public records to QSA, including transfer proposals, approval workflows, transferprioritisation and scheduling, processing (including spreadsheet data manipulation and checking) and locating records into repository storage.
Provide advice and guidance regarding eligibility and processes for the safe transfer of public records into QSA's custody, including use of the ArchivesGateway agency portal, transfer preparation and metadata requirements. Prepare and maintain statistical information and transfer documentation to ensure adherence to standards, consistency in terminology, and accuracy of data. Oversee repository management for the QSA facility, including housing records in repositories in a format-appropriate and space efficient manner, updating record locations and movements accurately in the collection management system and manage third-party storage arrangements.
Build and maintain close relationships with internal and external stakeholders, including Queensland Government public authorities and third-party service providers. Research, analyse and prepare written reports, correspondence, external advice, internal procedures and guidelines and deliver presentations on topics associated with archival transfers, repository management and accessioning. Supervise and allocate tasks relevant to transfers and repository management to Archival Support Officers. Model behaviours that foster a culture of continuous improvement and innovation, promoting an environment of strong customer service, collaboration and teamwork. Undertake any other duties as directed by the Manager, Collections & Discovery.
