This role is essential in ensuring smooth front-office operations while supporting various administrative tasks that contribute to a positive and professional workplace environment.Job OverviewAs the first point of contact for visitors and clients, the Receptionist/Administrative Assistant creates a welcoming atmosphere and ensures efficient day-to-day operations at our front desk. This position also provides vital administrative support across departments, maintaining organization, accuracy, and professionalism in all interactions.Key ResponsibilitiesFront Desk & Customer Service Greet and welcome visitors, creating a friendly and professional first impression. Answer and direct incoming phone calls promptly and courteously. Maintain a clean, organized, and inviting reception area. Assist visitors and customers by providing information or directing them to the appropriate personnel. Administrative Support Process and manage incoming cheques, including verifying account details, preparing deposits, and maintaining deposit logs. Assist with document management such as scanning, copying, and forwarding shipping/receiving forms. Update information in company systems (IHQ, CDK, Marketbook, Iron HQ) as required. Support sales and marketing by updating listings, ads, and tracking lead sources. Coordinate mail distribution, courier services, and office supply orders. Schedule appointments and manage meeting room bookings. Other DutiesSupport various departments with administrative tasks as needed. Maintain confidentiality and professionalism in handling company and client information. Qualifications & ExperienceHigh school diploma or equivalent (post-secondary education in Office Administration is an asset). Previous experience as a receptionist or in an administrative/customer service role is preferred. Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Strong organizational, communication, and multitasking skills. Friendly and approachable demeanor with a customer-focused attitude. Working ConditionsOffice-based role, primarily at the front desk.
