SummaryThe ideal candidate will be responsible for overseeing all front desk operations, ensuring that communication between staff and customers is seamless and effective. A commitment to maintaining high standards of professionalism is essential for success in this role.Key Responsibilities Greet and welcome guests as they arrive at the office. Direct visitors to the appropriate person or office. Answer, screen, and forward incoming phone calls. Ensure that the front office, reception area, and meeting rooms are clean and presentable at all times. Closely monitor and coordinate with the office cleaner and the office boy. Provide accurate information to visitors in person or via phone/email. Receive, sort, and distribute daily mail and deliveries. Maintain office security by adhering to safety procedures, including monitoring the logbook and issuing visitor badges. Order front office supplies and manage inventory. Update calendars and schedule meetings. Arrange travel and accommodations, and prepare documents for travel visas Maintain updated records of office expenses and costs. Perform clerical duties such as filing, photocopying, transcribing, and taking minutes of meetings when needed Be a pioneer in staff daily attendance, closely monitor and report. Administer company vehicles, including traffic fines and vehicle registration renewals.Skills & Qualifications Proven work experience as a Receptionist, Front Office Representative, or similar role. Proficiency in Microsoft Office Suite. Hands-on experience with office equipment. (e.g., fax machines and printers) Solid written and verbal communication skills. Ability to be resourceful and proactive in dealing with issues that may arise. Excellent organisational skills. Multitasking and time-management skills, with the ability to prioritise tasks. Customer service attitude.Education Bachelors degree in any discipline (additional certification in Office Management is a plus)
