Job Description

We are looking for a professional Receptionist to manage our front desk and provide administrative support across the organization. The ideal candidate will be the first point of contact for visitors and staff, ensuring a welcoming and efficient reception experience. Responsibilities include greeting guests, managing calls, maintaining office supplies, scheduling meetings, handling mail and deliveries, and supporting various departments with clerical tasks. Strong communication skills, attention to detail, and a customer-focused attitude are essential for success in this role.Roles & ResponsibilitiesGreet and welcome guests promptly upon arrival at the office.Direct visitors to the appropriate personnel and departments.Answer, screen, and forward incoming phone calls professionally.Ensure the reception area is tidy, well-organized, and stocked with necessary stationery and materials (e.g., pens, forms, brochures).Provide accurate and basic information in person, via phone, and through email.Receive, sort, and distribute daily mail and deliveries.Maintain office security by following safety protocols and monitoring access through the reception desk (e.g., maintaining a visitor logbook).Order front office supplies and manage inventory levels.Update calendars and coordinate meeting schedules.Arrange travel and accommodations and prepare related vouchers.Maintain updated records of office expenses and operational costs.Perform general clerical duties such as filing, photocopying, transcribing, and faxing.Maintain agreements with vendors and manage communication regarding contract renewals.Support with ad hoc administrative tasks as required by various departments.Qualifications & Requirements:Degree in Business Administration, HR or public administration.Proficiency in Microsoft Office Suite.
