About The Job:We're looking for a proactive and personable Receptionist to join our team and keep things running smoothly so our teams can focus on doing their best work. More than just front of house, this role is a key support function across the Administration, Executive and Accounts departments.Team Event has a fast-paced office environment where priorities can shift quickly, and no two days are exactly the same. Success in this role requires strong office awareness and operational oversight - you’ll keep track of upcoming projects, staff movements, and peak periods to anticipate office needs and allocate support accordingly. Maintaining an understanding of our clients and suppliers, as well as staying across team availability, will help you stay one step ahead. If you thrive in a collaborative, fast paced environment and enjoy being the go to person, this role is for you.Key Responsibilities: · Office Administration: You'll ensure the smooth daily running of the office from managing supplies, equipment, catering and meeting spaces - while being the first point of contact for visitors and calls. You'll support teams with admin tasks like timesheets, travel bookings, IT coordination and Notion & Sharepoint management as well as providing executive assistance to the Managing Director and General Manager.· Accounts: Support the Accounts team by processing invoices and credit card payments, tracking deadlines, handling petty cash and expenses and maintaining accurate financial records.· HR Support Services: Support HR by coordinating onboarding and offboarding processes and managing freelancer calendar and database. · Office Awareness & Operational Oversight: You'll maintain an interest in and general overview of the existing and upcoming event projects as relevant to office resources and requirements and keep track of team availability and staff movements. · Project & Event Support: You'll assist the Event, Marketing, and Special Projects teams by supporting with ad hoc tasks, contributing to marketing initiatives, coordinating logistics for client and TE owned events, and providing hands on assistance onsite at events.To be successful in this role it is imperative that you have:·  Advanced computer literacy for PC·  Advance Microsoft Office software capability·  Ability to work in a team as well as autonomously·  High attention to detail and high level of accuracy·  Ability to work under pressure·  Passion for organisation and efficiency·  Personable communication skills ·  Experience in a fast paced agency or 5 star hotel environment is preferred, however prior experience in reception or office administration is also valuedAt Team Event, you’ll work on diverse, high impact projects, grow alongside industry leaders and be part of a culture that celebrates collaboration.
