Title: Recruitment and Operations CoordinatorLocation: Melbourne, VIC (Hybrid available)Work Type: Full-time, PermanentSalary: Salary commensurate with experienceReports To: Associate Director – ResourcingAbout the roleThe focus of the role will be supporting our growing Resourcing operations ie: legal secondments, permanent recruitment and retainers.You are highly organised, with strong attention to detail and enjoy the variety and pace of working in a growing boutique business.You’ll be the operational heartbeat of our team, the person who keeps things moving, organised, and connected. From managing internal systems and coordinating communications, contracts, events and marketing support, you’ll ensure the business runs smoothly behind the scenes so others can focus on driving growth.Why you’ll love itImpact: You’ll be a core team member, working side by side with our Associate Director and Founder in the fastest growing part of our business.Variety: You’ll work across recruiting, marketing, events and operations.Growth: You’ll develop skills in our tech systems, client communications, and project coordination.Culture: You’ll be part of a small, close team who value initiative, continuous improvement, and collaboration.Key responsibilitiesResourcing support Prepare and coordinate recruitment paperwork, including offer letters and extension docs.Coordinate onboarding, induction and offboarding, compliance checks (e.g. immigration status, practising certificates), and timesheet management in our HR system (Employment Hero).Coordinate communications with new candidates, placed lawyers and clients, including follow-ups, check-ins, and reminders.Manage data, particularly in our recruitment CRM/ATS system (Bullhorn).Coordinate meetings, diaries, and travel arrangements.Screen job applications and format CVs.Organise posting of welcome packs, cards, and client gifts.Office and systems administrationMaintain accurate candidate and client records in our systems (Bullhorn, Employment Hero, SharePoint) e.g. employment agreements, references, superannuation details, tax file numbers etc.Manage job postings across Bullhorn and LinkedIn.Maintain our document and knowledge management system (SharePoint).Coordinate team calendars (Outlook and SharePoint).Manage spreadsheets and generate data reports from our systems (e.g. Excel, Bullhorn, Employment Hero).Help prepare, check and issue client invoices.Assist with general finance administration.Help manage renewals of licences, insurances, corporate registrations, practicing certificates etc.Marketing and events Support with planning online and in-person events including event planning, booking venues, catering, organising speakers and other event logistics.Assist our Marketing team with content coordination and platform management.Help with scheduling and posting content in our newsletter and via LinkedIn.Maintain contact lists and assist with email campaigns and reporting.Ensure brand materials and communications are well-organised and up to date.Marketing and events Schedule client meetings and coordinate project logistics.Assist with document management, templates, and project administration.About youYou have experience in a similar role.Experience in a professional services or recruitment setting is preferred.Life experience will be well regarded.You’re proactive, able to work autonomously and add value beyond what’s asked.You’re highly organised, with strong attention to detail and follow-through.You’re comfortable with technology and learning new systems.You communicate clearly and professionally with internal and external stakeholders.You share our love of continuous improvement.Technical and systems capability:Key: Microsoft Suite (in particular SharePoint, Excel, Word, PowerPoint)Desirable but non-essential: Bullhorn, Employment HeroNote: training and upskilling provided where needed.About us:We provide legal teams with practical and valuable support through resourcing, consulting and training solutions, helping them to become more effective and efficient.We make legal teams better by connecting people and empowering lawyers at all levels to transform their work.We’re a small, down-to-earth and supportive team.We’re looking for someone who has plenty of energy and is keen to roll up their sleeves and help us out in a number of areas of our growing business.Want to know more?Apply here, please send your CV and a short cover letter on why this role interests you.
