Job Description

We are seeking a highly organized and people-driven Operations Assistant to support our Director of Operations in managing hundreds of Virtual Assistants. This role goes beyond admin work-it's about driving VA success through coaching, relationship building, attrition management, and stakeholder communication.

Key ResponsibilitiesVA Relationship & Success Management- Support onboarding and orientation for new VAs- Act as a point of contact for VAs regarding challenges, client alignment, and day-to-day operations- Proactively build rapport with VAs to support long-term retention and performance- Monitor engagement and satisfaction of VAs through regular check-ins and pulse surveysStakeholder Communication Coaching- Coach and mentor VAs on best practices in professional communication- Conduct training sessions or workshops to enhance email, meeting, and reporting etiquette- Review communication issues and provide feedback to help VAs manage client relationships more effectively 3.

Attrition and Perception Management- Identify early signs of disengagement, performance issues, or misalignment- Collaborate with Director of Operations to develop action plans for at-risk relationships- Support exit interviews and documentation to refine future hiring and engagement strategiesOperational Support & Coordination- Assist with scheduling performance reviews, training sessions, and internal operations check-ins- Maintain accurate records of VA assignments, progress, and feedback using internal systems- Help coordinate internal SOPs and improve operational workflowsWhat Success Looks Like- High retention rate of assigned Virtual Assistants- Improved client feedback on VA communication and performance- Clear, documented coaching interventions with measurable improvement- Seamless support and coordination of operational priorities for the DirectorQualifications Required:
