We are looking for a highly organized and proactive Executive Assistant to join our client's team on a contract to hire basis. This role involves providing essential administrative support to ensure the smooth functioning of executive-level operations. Based in Dunedin, Florida, this position offers the chance to contribute to a dynamic and growing organization dedicated to supporting nonprofit initiatives. This is a part time position, 20-25 hours per week supporting an entrepreneur. Responsibilities: • Manage executive calendars, ensuring appointments are scheduled and conflicts are resolved efficiently. • Coordinate and arrange travel plans, including flights, accommodations, and itineraries.
• Organize and prepare materials for executive meetings, ensuring all resources are readily available. • Maintain effective communication with internal and external stakeholders to support executive-level activities. • Provide administrative support such as drafting correspondence, managing files, and handling confidential information. • Act as a liaison between executives and team members to facilitate smooth workflow and collaboration. • Monitor and prioritize incoming requests to ensure timely responses and resolution. • Assist in planning and coordinating events or special projects as needed. • Implement and maintain organizational systems to improve operational efficiency. • Track and report on key activities to support decision-making processes.
• Proven experience as an Executive Assistant or in a similar administrative role. • Proficiency in calendar management and scheduling tools. • Strong ability to coordinate and book travel arrangements with attention to detail. • Excellent organizational and time-management skills. • Effective communication skills, both written and verbal. • High level of discretion and ability to handle confidential information. • Proficiency in Microsoft Office Suite and other relevant software. • Ability to multitask and adapt to changing priorities in a fast-paced environment.
