POSITION TITLE: Executive AssistantREPORTS TO (TITLE): Chief Executive OfficerSALARY: $68,640 - $83,200 (Exempt Position)DESCRIPTION OF POSITION: This role provides high-level administrative support to the Chief Executive Officer, Medical Director, and Senior Leadership Team, ensuring seamless execution of daily operations, strategic initiatives, and executive communications. This role is critical to maintaining organizational efficiency and alignment across departments. The ideal candidate is a highly organized, tech-savvy professional with excellent judgment and communication skills. They serve as a trusted partner to executive leadership, managing priorities, coordinating cross-functional efforts, and upholding the highest standards of discretion and professionalism. KEY RESPONSIBILITIES:
Executive & Strategic SupportManage and optimize the CEO's calendar, including scheduling meetings, travel, and eventsPrepare high-impact presentations, reports, and meeting materialsAttend key meetings, record accurate minutes, and track action itemsHandle confidential information with discretion and professionalismAct as a trusted gatekeeper, ensuring seamless communication and prioritization of tasks aligned with the CEO's strategic goalsServe as the primary point of contact for the CEO, prioritizing appointments, returning calls, and responding to correspondence on their behalfLeadership Team & Cross-Department CoordinationSupport the CEO's direct reports in tracking goals, deadlines, and deliverablesFacilitate communication and collaboration across departmentsFollow up on action items and ensure accountability for leadership initiativesTechnology & IT SupportProvide basic IT troubleshooting and support for the CEO and senior leadersCoordinate with internal IT teams and external vendors to resolve technical issuesAssist with setup and management of digital tools, platforms, and devicesOperational Efficiency & GovernanceConduct research and synthesize information to support decision-makingIdentify and implement improvements to workflows, systems, and processesOrganize and maintain executive files, correspondence, and recordsManage all contracts (vendor, payer, etc.
), including tracking expiration dates, renewals, and verifying liability insurance coverageHospital Governance & ComplianceCoordinate governance meetings (Board of Trustees, Medical Executive Committee, Credentialing Committee, etc. ), including agenda development, packet assembly, attendance, and minute recordingMaintain meeting minute binders to ensure compliance with Joint Commission standards, including approvals, signatures, and archivingOversee hospital-wide policies, procedures, and forms, including revisions, approvals, and committee coordinationAdditional ResponsibilitiesPrepare special reports and perform related duties as assignedUphold the organization's ethics and customer service standardsRequirementsMINIMUM REQUIREMENTS: Knowledge and Experience: Bachelor's Degree preferred; equivalent experience consideredMinimum three (3) years' experience supporting senior management or two (2) years' as executive assistant is required.
Advanced computer skills, including Microsoft Office programs and virtual meeting software (e. g. , Zoom), required. Experience with visual design platforms such as Canva, Adobe Express, or similar tools for creating presentations, reports, and branded materials preferredHealthcare industry preferred.
