Company - Faisal Jasim GroupReports To: Division ManagerJob Summary:The Sales Coordinator – Quotations is responsible for preparing accurate and timely quotations for products including refrigeration copper pipes, coils, fittings, duct insulation, and pipe insulation. This role involves close coordination with the sales team, suppliers, and customers to ensure a smooth quotation process that supports business development and customer satisfaction.Key Responsibilities:Quotation Preparation:Prepare and send accurate quotations based on customer requirements, using product specifications, current price lists, and supplier quotes.Ensure timely follow-up on sent quotations to convert leads into orders.Customer Coordination:Act as a liaison between the sales team and customers to clarify technical specifications, delivery timelines, and product availability.Handle incoming customer inquiries through email, phone, and in-person.Product Knowledge:Develop a strong understanding of products such as copper pipes, coils, insulation materials, and associated fittings.Stay updated on industry standards and technical developments in refrigeration and insulation materials.Data Management:Maintain and update quotation logs, customer databases, and product pricing sheets.Track and report quotation conversion rates, and reasons for lost quotes.Supplier Coordination:Obtain price offers and lead times from suppliers or the procurement team as needed.Coordinate with suppliers for technical data sheets, compliance documents, and bulk pricing if required.Sales Support:Support the sales team with documentation, product brochures, and follow-ups.Assist in order processing and coordinate with logistics for delivery schedules post order confirmation.Administrative Tasks:Ensure all quotations and related communications are documented and archived properly.Assist in preparing monthly reports, sales forecasts, and other required sales documents.Key Skills and Competencies:Strong knowledge of HVAC/R and insulation products preferred.Excellent written and verbal communication skills.High attention to detail and accuracy in documentation.Ability to work under pressure and meet tight deadlines.Strong MS Office skills (Excel, Word, Outlook); experience with ERP or CRM systems is a plus.Customer service orientation with a proactive and problem-solving mindset. oracle is added advantage. Qualifications and Experience:Bachelor’s degree in Business Administration, Engineering, or related field.2–4 years of experience in a sales coordination or quotations role, preferably in HVAC/R or building materials industry.Technical background or experience dealing with refrigeration and insulation products is a strong advantage.Working Conditions:Office-based role with occasional visits to warehouse or supplier locations if required.
