Job Description

We are looking for a highly organized and detail-oriented Sales Support Specialist – Events professional to join our team and to assist our sales team in achieving their goals. In this role, you will provide administrative and operational support to ensure smooth and efficient sales processes. You will be responsible for supporting in managing customer accounts, processing orders, handling documentation, and coordinating between sales and finance departments.You will support the Events director in driving event bookings, client satisfaction, handling administrative tasks, managing client communication, and ensuring every event is executed successfully from a sales support perspective.Key ResponsibilitiesAssist the Events Director with proposals, quotes, contracts, and client communication for event bookings Maintain accurate records of event leads, bookings, and client information in the CRM system. Process and manage customer orders, ensuring accuracy and timely deliveryAssist in managing contracts and ensuring all sales documentation is completed accuratelyCoordinate with internal teams to ensure all client requirements are metRespond to client inquiries about event services, pricing, availability, and customization optionsTrack sales performance and prepare regular sales reports and dashboardsMonitor and update sales materials and event collateral (brochures, booking forms)Monitor invoicing and payment status and coordinate with the sales teamSupport, when required by the finance team, in finalizing customers’ payments before the events Help coordinate on-site logistics as needed during major eventsQualificationsBachelor’s degree in Business, Marketing, Event Management, or related field preferred1–3 years of experience in sales support, event sales coordination, or administrative and customer serviceStrong organizational, multitasking, and time-management skillsFluent in English, excellent written and verbal communication skillsProficient in Microsoft Office (especially Excel, Word, Ppt, Outlook); CRM experience (e.g., Salesforce, HubSpot)Ability to multitask and stay calm under pressure in a fast-paced, deadline-driven environmentFlexible schedule, with occasional availability for early mornings/evenings/weekends during event periodsAttention to detail and commitment to providing outstanding customer serviceFamiliarity with event management software (e.g. IDloom, Monday, etc)Ability to work independently and collaboratively in a fast-paced environmentAbout NovaspaceNovaspace is the global leading consulting firm in the space sector.
