ROLE DEFINITIONWe are looking for a full-time Office Virtual Assistant with experience in customer service to serve as the right-hand/Assistant to the owner & CEO.

WHO ARE WE LOOKING FOR: We are seeking a dedicated and detail-oriented Office & Customer Support Assistant to join our team. The ideal candidate will be responsible for providing exceptional customer service, supporting our sales staff, and assisting with marketing efforts. This role requires excellent communication skills, strong attention to detail, and the ability to multitask effectively. We are looking for someone who is comfortable being on the phone. ResponsibilitiesCustomer Service:

This aspect of the role is pivotal. Your proficiency in client interactions or substantial background in customer service is crucial. - Customer Inquiry Handling: Respond promptly to customer inquiries via phone, email, and textAddress customer questions, concerns, and requests in a professional and courteous mannerProvide accurate information about products, services, and pricingAssist customers in scheduling appointments or consultations- Qualification Process: Follow a provided script to qualify potential clientsDetermine if clients meet predefined criteria or are a good fit for the company's products/servicesCollect necessary information from clients to facilitate the qualification process- Appointment Coordination:

Coordinate and schedule appointments based on customer availability and distance from already scheduled appointmentsUse calendar management software to organize and schedule appointments efficientlyCommunicate appointment details to both customers and salespeople- Requesting Reviews: Compile a list of closed clients provided by managementReach out to closed clients to request feedback and reviewsProvide instructions on how to leave reviews on relevant platformsFollow up with clients to encourage them to leave reviews if needed- Administrative Support- Sales Support: Provide administrative support to sales staff as neededFollow up with salespeople to ensure timely completion of tasks and appointments- Task Follow-Up:

Monitor and track the progress of tasks assigned to salespeopleFollow up with sales staff to ensure completion of overdue tasksProvide reminders and support to help sales staff meet deadlines.

QualificationsHigh school diploma or equivalent; additional education or certification in business administration or related field is a plusProven experience in customer service or administrative rolesExcellent communication skills, both verbal and writtenStrong organizational skills and the ability to prioritize tasks effectivelyProficiency in using RingCentral or similar communication platformsExperience with data entry and spreadsheet managementFamiliarity with marketing tools and techniques is preferredAbility to work independently as well as part of a team in a fast-paced environment.
