A pivotal coordination role for someone who thrives in a scientific environment, enjoys solving problems, and ensures efficient operations across clinical and research teams through proactive support, strong organization, and clear communication.About the roleWe are partnering with an innovative biopharmaceutical company based in Lund, focusing on pioneering research in immunology and rare diseases. The organisation values structure, quality, and collaboration to enable scientific progress and impactful R&D initiatives.This position is a parental leave cover running until August 2026, with an immediate start to ensure a smooth handover from the current Coordinator. You will be employed by Academic Work and work on assignment at our client’s R&D organisation in Lund. This includes managing schedules, facilitating communication, handling financial and contractual administration, and organizing key events in a high-stakes scientific environment.Manage agendas and coordinate meetings for leadership and functional teamsSupport with presentation materials, information distribution, and meeting summariesAdminister time reports, vacation requests, travel bookings, and expense reports in AspiaSupport contract management, including workflow coordination, vendor communication, and AdobeSign processingPlan and coordinate internal events or conferences for R&DMaintain trackers and supporting processes such as MRC/PRC and CMC vial shipmentAct as a point of contact for daily operational support and ensure smooth workflows across the Science and Clinical functionsBe proactive, solution-oriented, and ready to assist with ad hoc tasks as neededWe are looking forFluent in English, written and spokenAdvanced administrative experience (3+ years), including time management and organizationProactive, discreet, and professionalSolution-oriented, structured, and able to thrive in a fast-paced, collaborative environmentStrong IT skills and ability to handle multiple tasks and deadlines efficientlyExcellent communication and relationship-building skillsBachelor’s degree in natural sciences, social sciences, or related field preferredIt is meritorious if you haveExperience coordinating events and preparing presentations.Interest or knowledge in scientific fields.Previous experience in life sciences or healthcare.Experience with the Aspia system.Ability to manage and set deadlines for senior stakeholders.To succeed in the role, your personal skills are:Stress tolerantOrderlyResponsibleOur recruitment processThis recruitment process is handled by Academic Work and it is our client’s wish that all questions regarding the position is directed to Academic Work.
