These are grant funded positions.Job Responsibilities3 POSITIONS AVAILABLEUnder the supervision of the Constituent Services Supervisor, this position is responsible for ensuring the accuracy, compliance, and integrity of vital records transactions within the Records Management Unit. Duties include reviewing and processing requests, verifying identification and supporting documentation, conducting record searches within the vital events registration system, and performing quality reviews to ensure adherence to Georgia vital records laws and agency procedures. The position provides professional customer service by responding to constituent inquiries, resolving issues, and coordinating complex requests such as adoptions, amendments, and court orders in accordance with established policies and timelines.Job ResponsibilitiesReview and verify constituent identification and supporting documentation to ensure eligibility and compliance for processing vital records requests. Conduct comprehensive record searches within the vital events registration system to locate and validate vital event information. Respond to constituent inquiries and resolve complaints related to all types of vital records requests, ensuring courteous and efficient customer service. Evaluate submitted requests for accuracy and completeness, ensuring all required documentation is included before processing. Perform general administrative and clerical tasks, including photocopying, filing, scanning, and accurate data entry into relevant systems. Conduct daily quality control reviews of processed orders and issued certificates to confirm accuracy, completeness, and adherence to governing statutes and agency policies. Prepare, issue, and mail certified copies of vital records to constituents in accordance with established procedures. Route complex requests such as adoptions, court orders, amendments, or delayed birth filings to the Records Management team, communicating processing timeframes and next steps to constituents. Receive and process all incoming mail and online vital records requests in a timely and secure manner. Perform additional related duties as assigned to support operational efficiency and service delivery. Minimum QualificationsHigh school diploma/GED and completion of 90 quarter hours (60 semester hours) at an accredited college or university;orOne (1) year of experience in a customer service setting communicating information;orOne (1) year of experience required at the lower level Customer Svc Rep 1 (GST120) or position equivalent.Preferred QualificationsAssociate degree in a relevant field of study with direct applicability to the duties of the position or five years of related experience. Exceptional attention to detail. Good analytical, organizational, and time management skills Prior experience in quality assurance or quality control role. Must be proficient with Microsoft Office products (e.g., Word, Excel) Ability to be flexible to handle multiple priorities Strong written and verbal communication skills Excellent analytical and problem-solving skills Strong understanding of SOVR quality standards and methodologies, policies and practices.
