About the roleThis position is a January 2026 startFitzgerald Therapy is a small counselling and psychology clinic dedicated to helping children, youth and young adults achieve mental wellbeing. We are seeking a highly organised and efficient Senior Admin Assistant to join our team at Joanne Fitzgerald Therapy in Ashgrove, Queensland. This full-time role is integral to the smooth running of our busy therapy practice, providing high-level administrative support to our clinicians and clients.What you'll be doingAs our Senior Admin Assistant, you will be the first point of contact for all administrative tasks, working independently to provide seamless support to both clients and cliniciansManage the daily operations of the front office, including greeting clients, handling phone and email enquiries, and scheduling appointmentsMaintain and update client records and databases, ensuring all information is accurate and up-to-datePrepare and organise various documents, reports, and presentations as requiredProvide administrative support for the practice's marketing and business development initiativesAssist with financial tasks such as invoicing, processing payments, and managing petty cashLiaise with external suppliers and service providers to coordinate the delivery of goods and servicesContribute to the implementation of office policies and procedures to improve efficiency and productivityWorking as a senior staff member, you will also have some training, management and other higher level tasks such as payrollWhat we're looking forMinimum 3 years' experience in an administrative or office support role, preferably within a healthcare or professional services environmentExcellent organisational and time management skills, with the ability to prioritise tasks and meet deadlinesStrong communication and interpersonal skills, with the ability to interact effectively with clients, clinicians, and other stakeholdersDemonstrated understanding of Medicare processes, with the autonomy and confidence to implement correct procedures and ensure full compliance with Medicare standards and billing requirementsProficient in using Microsoft Office suite, including Word, Excel, and PowerPointBasic data entry level proficiency in Microsoft Excel is requiredProven ability to work independently and as part of a teamPassion for providing exceptional customer service and contributing to the success of the practiceAustralian work rights are required for this positionWhat we offerAt Joanne Fitzgerald Therapy, we are committed to creating a supportive and inclusive work environment that enables our employees to thrive.
