Are you an organised, people-focused professional with exceptional attention to detail?Do you thrive in a fast-paced, client-centred environment where your work truly makes a difference?ProMelius, an award-nominated and rapidly growing allied health practice in Hervey Bay, is seeking a Senior Practice Administrator to join our supportive, passionate, and high-performing team.About UsAt ProMelius, we believe healthcare should be delivered with innovation, compassion, excellence, and teamwork.We provide multidisciplinary allied health services including physiotherapy, occupational therapy, hydrotherapy, gym, home, and community-based care, tailored to each client’s goals.Recognised for excellence across the Fraser Coast region, ProMelius is dedicated to delivering exceptional service while creating a positive, professional environment where both clients and staff thrive.About the RoleAs the Senior Practice Administrator, you’ll be the backbone of our clinic, leading the way in administration, client experience, and operational excellence.You’ll work closely with the Practice Manager and clinical team to ensure everything runs smoothly, from appointment coordination and billing accuracy to supporting staff and refining systems.This is a full-time role suited to someone who takes pride in organisation, leadership, and exceptional service.Key ResponsibilitiesOverseeing daily administrative and reception operations across the clinic.Supporting the Practice Manager in staff coordination, diary management, and workflow resources.Handling client enquiries, bookings, and communication with professionalism and care.Ensuring billing accuracy, payment follow-ups, and compliance with NDIS and Medicare processes.Maintaining clinical software records (Zanda) and client data integrity.Coordinating referrals, new client onboarding, and clinician schedules.Training and mentoring junior admin staff to uphold ProMelius’ gold-standard procedures.Contributing to continuous improvement in systems, client service, and team culture.About YouWe’re looking for someone who brings both professional excellence and heart to their work, someone who values people as much as precision.You will:Minimum 3 years’ experience in healthcare or business administration (allied health, medical, or similar).Possess strong organisational skills and an eye for detail.Communicate clearly, kindly, and professionally with clients and team members.Handle multiple priorities with calm efficiency.Proficiency in practice management systems (Zanda or similar)A strong sense of accountability, initiative, and leadership.Have a genuine desire to help others and contribute to a supportive, high-performing team.Excellent time management and multitasking skills.Experience with NDIS or client funding models (desirable but not essential).What We OfferBe part of a values-driven team that genuinely cares, for clients and each other.Career progression opportunities, including development toward Practice Management roles.A supportive environment where your ideas and growth are encouraged.Ongoing professional training and mentorship.Modern, welcoming clinic environment located in the heart of Hervey Bay.Competitive salary, employee recognition, and long-term job security.
