Job title: Executive Assistant to the Special AdviserLocation: AbujaWork mode: Full time (Onsite).About the Company We’re seeking a high-performing, proactive Senior Executive Assistant to support the Special Adviser (SA). The ideal candidate will be a strategic, organized, and results-driven professional who thrives in fast-paced environments helping to drive initiatives that empower women through creativity, innovation, and digital transformation.Role OverviewThe Executive Assistant (EA) will provide comprehensive administrative, operational, and strategic support to the SA, facilitating the effective execution of key projects across the Creativity, Innovation, Digital Technology, and Emerging Markets portfolio. The EA will also serve as the primary liaison between the SA’s office and a technical implementation partner organization a reputable firm supporting national programmes in innovation, entrepreneurship, and women’s economic inclusion.Key Responsibilities ● Executive and Administrative Support ○ Manage the SA’s daily calendar, correspondence, meetings, and official engagements. ○ Prepare briefs, reports, talking points, presentations, and official documents. ○ Support the SA in liaising with the Honourable Minister, other departments, and external stakeholders. ○ Maintain proper documentation and filing systems for all office records. ○ Handle confidential information with professionalism and discretion. ● Programme and Project Coordination ○ Support the planning and implementation of major women-focused initiatives by the SA ○ Serve as the point of contact for our client, coordinating closely with the office team and providing daily updates and reports to the SA. ○ Track and follow up on all project deliverables, ensuring no deadlines or action items are missed. ○ Support logistics, planning, and coordination of programmes and stakeholder activities. ● Stakeholder and Communication Management ○ Coordinate and document meetings, correspondence, and engagements with partners, agencies, and the private sector. ○ Draft and review memos, letters, proposals, and concept notes. ○ Represent the SA in designated meetings or events where necessary. ● Operational Effectiveness and Excellence ○ Demonstrate initiative by identifying gaps, anticipating needs, and proposing solutions. ○ Maintain a culture of excellence, timeliness, and accountability in the SA’s office. ○ Ensure all assigned tasks, projects, and communications are executed at the highest professional standard. Qualifications and Experience ● Bachelor’s degree in Public Administration, Arts, Communication, Development Studies, or related field (Master’s degree is an advantage). ● Minimum of 4-5 years of relevant experience in executive or administrative support roles. ● Proven experience managing multiple projects and deadlines with excellence. ● Strong organizational, writing, and interpersonal communication skills. ● Proficiency in Microsoft Office, Google Workspace, and digital communication tools. ● Experience in creative, development, or emerging market sectors is an advantage.
