Senior Order Entry Specialist

At Westinghouse, we recognize that our employees are our most valuable asset and we seek to identify, attract and recruit the most qualified talent while recognizing and encouraging the value of diversity in the global workplace.The Senior Order Entry Specialist is responsible for coordinating customer purchase order reviews and order acknowledgements, as applicable.The Order Entry specialist is also responsible for adherence to the company order processing procedure and following the Sales Order Entry Job Aid to create and process sales orders, process customer change orders, create interim orders to support work prior to the receipt of customer purchase order, rejecting interim orders, if customer order is never received, and updating order conditions and billing plans, as required for close-out of time and material (T&M) projects.The Senior Order Entry Specialist is responsible for resolving queries with no supervision. Works with the automation programs to process data and inform the relevant requestor. Cooperates with IT to upgrade automation programs. They are responsible for using previous experience to look for process improvements in both manual and automated processes. Cooperates with management team on process development. Works with other teams and internal stakeholders on process transition and stabilizationKey ResponsibilitiesWhen required, create order acknowledgement letter using the proper template, particularly when there are discrepancies between the Westinghouse offer and the customer purchase orderFor new customer purchase orders and change orders:Follow SOX compliance process for sales orders valued at $1M or greaterAttach customer PO and related documents, plus Westinghouse offer and order acknowledgement to SAP sales orderUpdate Header Partners tab using reference listsUpdate Header Text fields as required to facilitate the order archive processLink Level 1 Work Breakdown Structure (WBS) to each sales order line itemUpdate billing plan of each sales order line item, creating a high-level billing plan when requiredArchive the SAP sales order (for ISO and SOX compliance)Create interim orders, following a similar process to creating customer purchase ordersQueries resolutionProcessing data with automation toolsProcess improvementsMay coach and review the work of lower level professionalsProblems faced are sometimes difficult and complexQualificationsB.A., B.S. in Business, Engineering or Finance 2-4 yearsYears of global experienceKnowledge of Westinghouse and the industryProven track record with respect to knowledge of financial processes, controls, and associated improvement programsA general understanding of Westinghouse systems and data quality needsExcellent communication, presentation, and leadership skills.
