Job Description
The Senior PMO Specialist is responsible for overseeing project governance, performance tracking, and delivery assurance across the organization’s project portfolio. The role ensures proper implementation of PMO standards, tools, and methodologies, while supporting strategic decision-making through accurate reporting, risk analysis, and continuous improvement of project management practices.Key ResponsibilitiesProject Governance & Methodology• Develop and maintain PMO policies, processes, playbooks, and templates.• Ensure compliance with approved methodologies (Waterfall, Agile, or Hybrid).• Conduct regular project audits, health checks, and stage-gate reviews.Portfolio & Performance Management• Monitor portfolio progress including scope, schedule, budget, and benefits realization.• Prepare portfolio dashboards (weekly and monthly) and submit insights to PMO leadership.• Track KPIs such as schedule variance, cost variance, risk exposure, and delivery performance.Risk, Issue & Change Management• Implement and maintain RAID logs (Risks, Assumptions, Issues, and Dependencies).• Support change control governance and impact analysis.• Identify risks proactively and recommend mitigation or corrective plans.Reporting & Communication• Develop executive-level dashboards using tools such as Power BI, Excel, or PMIS.• Prepare briefing presentations for Steering Committees and leadership stakeholders.• Coordinate with Project Managers and Business Owners to validate data and ensure alignment.PMO Tools & Automation• Manage and optimize PMO systems and tools (e.g., MS Project, Jira, Primavera, PMIS).• Enhance PMO reporting automation and improve data accuracy and availability.Capability Building & Support• Coach project managers and PMO analysts on best practices and templates.• Support organizational change and maturity roadmap for PMO.Qualifications• Bachelor’s degree in Business, Engineering, IT, or related field (Master’s is a plus).• 5–10 years of experience in Project Management or PMO roles.• PMP, PgMP, PMO-CP, or other PMI-related certification required (at least one).• Knowledge of Agile frameworks (Scrum, SAFe) is preferred.• Strong skills in reporting, analysis, dashboards, and PMO tools.• Excellent communication, organization, and stakeholder management skills.Key Competencies• Portfolio & Project Governance• Reporting & Analytics (Power BI / Excel / PMIS)• Risk & Issue Management• Methodology Development & PMO Standards• Stakeholder Management• Problem Solving & Decision Making• Time Management & Prioritization
