Job Description

Executive Assistant & Office Manager We are seeking an exceptionally well-organised and proactive Executive Assistant & Office Manager to support the CEO and team at SGS UK Retail and ensure smooth day-to-day operations. This role requires excellent communication skills, attention to detail, and the ability to manage multiple priorities in a fast-paced and ever-changing environment. This role will require you to be in the office (Regent Street, London) 4 days a week with 1-day WFH (Friday) and occasional travel to our four retail schemes.

We’re looking for someone who can offer occasional flexibility, including travel and attending events such as team offsites or board meetings. Key Responsibilities: Provide high-level executive support to the CEO and wider team, including proactive diary management, meeting coordination, travel arrangements, and inbox oversight. Plan, coordinate, and manage Board and Strategy meetings, including preparing agendas, distributing documentation, minute-taking, and handling off-site logistics. Support day-to-day office operations, including liaising with building manager, managing office supplies, coordinating maintenance or repairs, and ensuring a well-functioning and professional working environment.

Handle administrative tasks such as travel bookings, managing expense reports, supplier invoices, and coordinating financial approvals. Maintain digital filing systems. Organise and prepare briefing materials, reports, and presentations to ensure the CEO is fully equipped for all meetings and engagements. Oversee the company’s online presence, including regular updates to the website and managing the corporate LinkedIn account. Act as a key point of contact for external stakeholders, including business partners, suppliers, and shareholders. Building and maintaining strong professional relationships. Maintain confidentiality at all times and handle sensitive information with the highest level of discretion and professionalism. About you:

Proven experience as an Executive Assistant to C-Suite in a fast-paced environment. Excellent organisational and time-management skills. Ability to work independently and handle multiple tasks with a high degree of accuracy. Adaptable to various competing demands. Ability to anticipate needs and think strategically. Team player with a flexible and positive can-do attitude.
