SHINE is dedicated to improving health, preventing chronic diseases, and strengthening community wellness in Baldwin, Hancock, and Washington Counties.This part-time position, based in Baldwin County, offers an exciting opportunity to make a meaningful impact in your community. Candidates must live within a reasonable commuting distance. The role provides up to 24 hours per week, with standard hours Monday through Friday. Some evenings, weekends, or holidays may be required to support administrative tasks for community events.Job ResponsibilitiesThe Administrative Assistant plays a key role in supporting the daily operations of the SHINE Program. This position assists with program coordination, communication, and office administration to ensure smooth and efficient workflow. The Administrative Assistant also provides excellent customer service to partners and community members, helping connect them with information, resources, and support.Primary Duties & ResponsibilitiesSupports administrative functions such as answering phones and providing event assistanceProcesses travel expenses, purchases, and vendor communicationsMonitors contracts and telecommunicationsManages inventory of supplies, furniture, and equipmentUpdates calendars, schedules meetings, and sends notices or invitationsRepresents the Program Manager as needed, including taking notes and preparing follow-up reportsTracks partner contributions (in-kind and monetary) related to SHINE strategies and activitiesProvides outstanding customer service to partners and community members by offering information, answering questions, and resolving concernsTracks program activities and maintains mailing and contact listsDrafts reports, presentations, correspondence, and other documentsMinimum QualificationsAssociate’s degree from an accredited college or university and one (1) year of job-related experience .or High school diploma/GED and three (3) years of job-related experience.Preferred QualificationsProficiency in computer applications, particularly Microsoft Word, Excel, and PowerPointStrong ability to format, proofread, and edit documents accuratelyExcellent attention to detail and organizational skillsAdditional InformationThe DPH Commissioner and agency leaders encourage all employees to engage in regular wellness activities and to make lifestyle choices that promote health and well-being.The use of physical activity breaks during the workday is authorized to support this philosophy and help employees meet their wellness goals.
