Experience in a startup environment is crucial, as you'll be expected to quickly adapt and contribute. Ideally, if you have some technical knowledge, that would be a great asset, as it will assist you in understanding the tools our development teams are using and their purpose. What You’ll DoExecutive & Team SupportProvide day-to-day administrative and operational support to our leadership team and their respective departments. Manage schedules and calendars, coordinating meetings across time zones.
Attend key meetings and follow up on actions, ensuring deadlines are hit and assisting with any blockers. Lead meeting preparation and follow-up: set agendas, take notes, assign action items, and ensure completion. Handle scheduling needs, travel logistics, and event coordination for internal and external meetings. Ensure efficient information transfer and seamless post-meeting follow-up. Operations & Process Coordination (Non-Sales Role)Maintain and update CRM records (e. g. , HubSpot) post-calls to ensure accuracy and timeliness. Review commission reports, flag discrepancies, and follow up on inconsistencies. Track action items and deadlines, ensuring nothing falls through the cracks.
Help keep teams organized and aligned with key priorities. Cross-Functional CollaborationCollaborate across departments to ensure clear communication and task ownership. Assist with recruitment coordination for various roles—scheduling, tracking candidates, and supporting hiring logistics. Be a dependable team player who enhances overall departmental productivity. What You Bring3+ years in an administrative or executive assistant role, ideally supporting leadership in SaaS, B2B, or similar high-growth, startup environments. Self-starter with the ability to work on your own initiative and learn quickly on the job. Outstanding organizational skills with a natural ability to take initiative and follow through on tasks.
Detail-oriented mindset—you’re meticulous with scheduling, documentation, and reporting. Excellent communication skills and the ability to manage priorities in a fast-changing environment. Comfortable managing schedules, attending meetings, and ensuring deadlines are met, actively assisting with blockers. Familiarity with CRM systems (HubSpot preferred) or a demonstrated ability to learn new systems quickly. Technical knowledge is a plus, as it will aid in understanding tools used by development teams. Not a sales or client-facing position—no direct sales experience required. Nice to HaveExperience supporting distributed or international teams. Familiarity with tools like Google Workspace, Slack, Zoom, Notion, etc.
