Woolworths Financial Services follows a Work-in-Hybrid work structure which requires employees to work from home for the majority of their time with some rotation into office.MAIN PURPOSETo take responsibility and accountability for the development and execution of commercial sourcing solutions aimed at realising significant value for the business whilst reducing risk and enabling business, service, and supplier strategies. Responsible for less complex IT requirements with M & L risk ratings, medium to low spend, limited or no integration requirements. Act as sourcing partner to the Chief Information Office Business Unit. To support Senior IT Sourcing Specialist on high-risk RFx projects when required. Working with other Sourcing Specialists on projects where BU requirements include technology components. To own and manage the ad-hoc subscription agreement sourcing process from Requirement identification to Credit Card or EFT paymentThis includes:Own, manage and facilitate the complete end-to-end sourcing lifecycle for allocated projectsWorking in partnership with the Woolworths and Absa sourcing teams to maximise synergies and realise economies of scaleAct as a Subject Matter Expert throughout the entire sourcing lifecycleIdentify and manage potential supplier risks as per the prescribed Policy and StandardsDelivery of all commercial and contractual elements of sourcing initiatives up to contract award ensuring all financial, risk, strategic and commercial considerations are optimisedWork cross-functionally with both internal and external stakeholdersIdentify and manage targeted savingKEY RESPONSIBILITIES:Management of Sourcing LifecycleOwnership and responsibility for the Source – to- Contract Life Cycle (including Procurement Planning, Requirement Definition, Sourcing, Evaluation & Selection, Pre-contract risk management activities, Contract Award & Contracting and Contract HandoverResponsible for the 3 Quote supplier selection process and low risk RFP processesEnsure compliance with Sourcing and Supplier Management Policy, Standards and guidelinesResponsible for obtaining an understanding of business strategies and requirements and to develop procurement plans linked to business requirements and strategiesResponsible for the implementation of BBBEE strategies and ensure the requirements of the Supplier Diversity Standard are incorporated throughout the Source - to-Contract lifecycleLiaise with Absa/Woolworths Sourcing teams to maximize synergies and realize economies of scaleFacilitate Cross Functional Sourcing Teams and act as a Subject Matter Expert for the whole of WFS from a sourcing perspectiveLead development and execution of Sourcing Strategies for all assigned initiatives, which invoke a low to medium degree of strategic and/or business risk and value. This would include reviewing different commercial models/options, ensuring alignment with Business and category strategiesSupport Senior IT Sourcing Specialist on high risk/complexity/value projectsEffectively manage supply side dependencies and interactions up to executive level throughout the sourcing life cycle internally with clients and colleagues and externally with suppliersSupplier Governance, Risk & ComplianceResponsible for conducting product & supplier segmentations, reviews and activities as per the Sourcing and Supplier Management policy and standardsResponsible for identifying relevant Supplier Control Requirements and compliance assessment with External Supplier Control RequirementsEnsure pre-contact risk activities are concluded before contract approvalEnsure governance and regulatory requirements are met and relevant regulatory approvals are met before initiating a sourcing project. This includes: Materiality assessments, Cloud Committee approvals and Budget/Business case approvalsEnsure sourcing is in line with organisational and external governance, (i.e. Internal Audit, FAIS, FICA, BEE rating and compliance adherence)Ensure a sound risk framework is adhered to in terms of all new and existing sourcing projects and contracts, i.e. that it is in alignment with WFS and ABSA policies and legislative governancesContracting and Contract ManagementDelivery of all commercial and contractual elements of allocated sourcing initiatives up to contract award ensuring all financial, strategic and commercial considerations are optimised and potential risks are identifiedResponsible to lead supplier negotiations for sourcing projects allocated to incumbentResponsible for contract compilation and finalisationEnsure appropriate engagement of the Legal department, i.e. manage legal input to meet business and sourcing needsObtain contract approvals as per the WFS Board authority levels and prepare Board resolutions where requiredFacilitate compilation and agreement of Service Level AgreementsDevelopment of an Exit Strategy for High and Medium Risk SuppliersDevelop and maintain a contract risk log and material obligations registerMaintaining Contract Register and action contracts nearing expiry datesResponsible for effective handover all appropriate documentation to the appointed Supplier Manager after the completion of the Sourcing processStakeholder ManagementWork cross-functionality to establish and maintain working relations with other parts of business to deliver in the role – typically up to and including senior leadership levelAct as the commercial lead on major business sourcing initiatives translating strategy into executable plan, educating and guiding wider business team on commercial issues and leading subsequent execution and management of other commercial resources (e.g. Accounting, Tax and Legal experts)Initiate Oracle on-boarding of newly appointed suppliersContinuous ImprovementManage the production of value-added reporting which will help business to comply with Sourcing policy and extract efficiencies in 3rd party supplier spendResponsible for:Supplier Spend reporting & analysisContract register updatesSourcing Project updatesContinuously seek to improve WFS sourcing processes and procedures and communicate changes to relevant stakeholders and business unit leadersIdentify, socialise, capture and realise cost savings/optimisation/avoidanceStay abreast with Sourcing trends, what is in the market, relevant legislation and events in the sourcing and/or procurement industryCross Functional People ManagementLead and facilitate Cross functional sourcing teams throughout the Source - to-Contract lifecycleManage inputs and deliverables required from internal stakeholders and suppliersEngage with supplier representatives on behalf on WFSMINIMUM QUALIFICATIONS3-year university business degree or National DiplomaMembership of the Chartered Institute of Purchasing and Supply and a CIPS qualification (Level 4 completed or studying towards a CIPS qualification) is advantageousEXPERIENCE REQUIREDMinimum of 5 years' sourcing management experience across various sourcing commodities and services of which at least 3 years must be in IT commodities and categories.
