This position is subject to a range of vetting checks, including a criminal records check and/or disclosure to ensure program participants are safeguarded.About This RoleResponsible for the acquisition of financial grants from institutional, national, and international donors (foundations, corporations, bilateral cooperation agencies, United Nations agencies, global funds, development banks), in accordance with the established work approaches and methodologies for the area and the guidelines of strategic and operational plans, which finance the implementation of special projects for the country office.ExperienceRequired Experience and Education At least 10 years of experience working with Civil Society Organizations (CSOs), preferably in the child and/or youth protection and welfare sector. At least 5 years of experience developing funding proposals for institutional, national, and international donors, securing 5- and 6-figure grants (US dollars). Acquiring and managing cloud-based databases specialized in operating grants. Creating and managing account, opportunity, and project records in the Salesforce CRM platform. KNOWLEDGE: Trends in national and international grant markets. Regulations and compliance requirements of bilateral institutional donors (United States Federal Government agencies) and multilateral organizations (United Nations agencies, European Union, etc.) are preferred. EDUCATION: Bachelor's degree in Project Management, International Development, Business Administration, or other relevant field of study. Relevant work experience may be acceptable and equivalent in lieu of a degree. CERTIFICATIONS: Proof of English language proficiency provided by an international exam for non-native speakers (TOEFL, IELTS, etc.) is preferred. Proof of English language proficiency is preferred in the design of social projects and/or the preparation of grant proposals for bilateral international cooperation agencies (diplomas, certifications, specializations, etc.). Primary ResponsibilitiesManage procurement strategies: Evaluate market trends for financial grants to fund the implementation of child protection and welfare projects in Mexico, based on market analysis or research. Determine the organization's resources and competencies necessary to be eligible and competitive in donor competitions for financial grants, according to the most common requirements. Design and execute strategies for the acquisition or renewal of grants established by the guidelines of the Country Strategic Plan and the Level of Financial Achievement (LOA) established within the current Annual Operating Plan for the country office. Capture grant opportunities: Obtain annual memberships and accounts to online platforms with information about grant opportunities for civil society organizations (indexed databases, listings), and subscriptions to electronic news bulletins. Proactively search for grant opportunities using previously obtained memberships, along with other electronic information sources such as institutional donor directories; private mailing lists; and philanthropic press (magazines, forums, newspapers) (mapping). Capture calls for economic grants from the Business Development Division (BD), the Global Corporate Partnerships Division (GCP) of the International Office (OI), from the Senior Management Team (SMT), and/or from the digital channels of the country office (website, social media). Participate in events, whether in-person or virtual, to identify grant opportunities from potential institutional donors, both national and international (informational sessions, conferences, forums, seminars, etc.). Record grant opportunities in OI's Customer Relationship Management (CRM) platform, SalesForce, attaching necessary documentation, requesting approvals from the relevant leaders, and keeping the records updated. In coordination with the Country Director, manage the portfolio of grant opportunities from institutional donors: identified, evaluated, processed, discarded, canceled. Prospect donors and opportunities. Assess the relevance, eligibility, competitiveness, and feasibility of participating in emerging or attracted grant opportunities, with the strategic advisors of the BD Division or GCP. Where possible, evaluate Civil Society Organizations. Request the GCP team to issue due diligence reports and present exceptional cases to the Executive Evaluation Committee for written approval, in the case of private donors (corporate companies and foundations). Estimate the need to integrate or not the services of specialized consultants to prepare grant proposals, whether as technical advisors, complete or partial writers, or text editors. Additionally, consider other NGOs as partners in the execution of projects (be they local partners or specialists); Prepare key information notes on grant opportunities using standard initial evaluation documents, and share them with key members of the country office for their review (Programs, Advocacy, Child Protection, Sponsorship, Finance, Communications). Submit for consideration the decision to present or not grant proposals for the evaluated opportunities through the organization collegial meetings (Go/NoGo) with the same key members. Plan resources and tools: Recruit key members who will participate in proposal development as part of the teams, considering both country office and IO staff, particularly programmatic and financial reviewers, and specialized technical advisors. Prepare quick checklists with all the requirements requested by donors, as well as compliance matrices for the deliverables for each grant proposal (with scoring rubrics), indicating the responsible individuals, start and end dates. Create proposal development timelines using double-entry matrices, indicating the team leaders, work phases, and deadlines for each participation. Create online folders in Microsoft SharePoint/Teams, upload essential electronic files for the working teams: calls for proposals, forms, templates, and donor forms, as well as checklists, compliance matrices, and calendars, sharing them with members. Organize kick-off meetings with teams to review, analyze, discuss, and agree on work plans for developing proposals. Develop/coordinate grant proposals: Build the value proposition of grant proposals by scheduling meetings that allow teams to identify, analyze, discuss, and define the problem, target population, geographic scope, priority activities, and implementing partners. Write, co-write, or supervise the drafting of technical narratives and budgets (initial, interim, and final) for proposals based on the results of the conceptualizations and in accordance with established work schedules. Co-design the monitoring and evaluation (M&E) systems required for the logical frameworks of grant proposals (outcomes, indicators, means, and verification instruments) with the assistance of M&E Officers, Specialists, and/or Advisors. Co-prepare grant proposal budgets with the timely assistance of budget planners: Financial Officers, Specialists, and/or Analysts from the national office or IO, checking donors' granting policies: maximum budget, ineligible costs, indirect cost ratio, and programmatic cost matching. Complete the legal, tax, financial, accounting, and administrative documents required to be attached to grant proposals (legal documents, financial statements, tax status certificates, organizational charts, etc.). Coordinate the review of drafts by the review teams and integrate their observations and suggestions, scheduling the necessary meetings to clarify or expand on the most relevant contributions. Submit grant proposals through the electronic channels indicated by institutional donors (online platforms or by email) before the deadlines and dates. Follow up on requests: Electronically follow up on institutional donor opinions regarding grant proposals submitted through correspondence, website visits, and/or online platforms. If necessary, coordinate with Program Management and the Safety and Security Office of the national office on requests for on-site visits from potential institutional donors and assist in the preparation of these activities. In coordination with the Country Directorate, manage the DB unit's portfolio of grant proposals: planned, in development, submitted, rejected, and accepted. Manage awards: Upon request from the institutional donor, prepare any required adjustments to the technical proposal and/or budget breakdown, maintaining constant communication with them through the necessary means (e-mail, web platforms, instant messaging, video calls, phone calls, etc.). Review the terms and conditions of the grant/financial donation agreements and forward them to the Legal Department for legal review. If there are clauses specific to a work area (Programs, Finance, Accounting, Communications, Information Technology), forward them for review as well. Coordinate the signatures of both legal representatives. Prepare slide presentations with crucial information about the funded projects for key team members who will be involved in their implementation and organize kick-off meetings with them to instruct them on compliance with their obligations and the management of the grants themselves. Provide advice to country office staff on policies for managing and reporting (technical or financial) on grants acquired from institutional donors. Regularly review with the Finance Department the financial records of acquired grant awards against the established LOA for the country office. Register grant-funded projects in SF, attaching the necessary documentation, requesting the issuance of the necessary financial codes from the OI Accounting team, and maintaining updated records. Manage policies and procedures: Adapt and implement OI's policies on grant management, organizational records management, and investigation of organizations involved in acts of corruption and terrorism, debarred, and suspended organizations for the country office's BD unit. Remain alert and react to any child protection risks when writing grant proposals, signing contracts or agreements with acquired or captive donors, or other associated documents (child protection). Conduct themselves in strict adherence to the organization's policies and procedures outlined in the Code of Conduct and Ethics, Conflict of Interest, Fraud Prevention and Awareness, Sexual Harassment, and Whistleblowing. Other Activities: Prepare/update progress information on the country office's DB unit for the Country Director's monthly presentations with the Latin America Regional Directorate, quarterly reports on annual operating plans in CommCare, and monthly OI risk assessment dashboards. Prepare/update the status of the country office's grant accounts for the DB Division's monthly tracking dashboard, as well as the status of foundation relationship development for the OI External Engagement Division. Participate in planning processes (strategic and operational) and special initiatives of OI divisions with the SMT team whenever requested by the Country Directorate. Prepare slide presentations with information from the country office's DB unit for presentation at virtual and in-person events with OI members, national, regional, or global meetings.
