DescriptionThe Team Solutions Project Coordinator assists the team in all project-related tasks focused on helping clients with the creation of equity sharing plans for their staff, development of employee resources, and compensation research, as well as the implementation of death and disability agreements for business owners. Tasks include developing core strategies for projects, creating project deliverables, communicating with clients, and monitoring team projects. The position requires a high level of independent work and strong organizational, analytical, and communication skills. We are searching for a self-starter who is detail-oriented and loves to work in a team environment.
Key Responsibilities Project Planning and Coordination: Supports projects from inception to completion by coordinating tasks, tracking progress, and ensuring deadlines are metPrepare meeting agendas, materials, and presentationsPrepares project deliverables, including, but not limited to form contracts, cash flow models, amortization schedules, memos, reports, presentations, and other project resourcesReviews other service deliverables such as governance documents, valuations, contracts, and models to assist with project completionMonitors project progress and identifies potential risks or issues, promptly addressing them to keep projects on trackAttends client meetings and take meeting minutesOther project-based tasks, as assigned Communication and Reporting:
Addresses inquiries and directs individuals to appropriate contactsSchedules client calls with team, as neededProactively facilitates communication with or directly communicates with clients, written and verbalDistributes meeting minutes, status updates, or to-do list items to clientsHighlights key metrics, achievements, and challenges to Project ManagerProvides clear updates and action items to project team Documentation and Records: Create, monitor, and complete tasks in CRM systemMaintain electronic files and recordsEnsure project files are organized and accessible for future reference Process Improvement: Continuously assess project coordination processes and propose improvements for increased efficiency and effectiveness.
