S/he will ensure efficient time management by organizing schedules, meetings, and communications while anticipating and solving problems proactively.
The Executive Assistant will act as a trusted liaison between the executive and various stakeholders, facilitating smooth communication and coordination. KEY RESPONSIBILITIESAmong all his/her responsibilities, the Executive Assistant will be responsible for: Support one or more members of the Executive Committee and provide additional support to their executive team members, to ensure that company goals and objectives are accomplished and that operations run efficiently. Plan and organize work to ensure that senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld.
Manage professional and personal scheduling for the Executive Committee member(s), including agendas, mail, email, phone calls, client management, and other company logistics. Manage senior executives’ travel logistics and activities, including accommodations, transportation, visas, meals, and expense reporting. Manage and filter emails, draft correspondence, and serve as the point of contact for internal and external communications. Provide administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing systems and contact databases. Act as a filter for requests, managing access to the executive, and deciding what requires their immediate attention versus what can be delegated.
Organize team communications and plan events, both internal and off-site. WHAT WE'RE LOOKING FORBachelor’s Degree in Business Administration, Communications, Office Management, or a related field. 10+ years of experience in administrative and back-office roles within a corporate multinational environment. 5+ years of experience in an administrative/EA role reporting directly to upper management. Excellent written and verbal communication skills. Strong time-management skills and the ability to organize and coordinate multiple concurrent projects. Proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel) with an aptitude for learning new software and systems. Proficiency in French and English is mandatory.
Japanese is a plus, but it will be considered as a solid asset to cover the role.
