Role & ResponsibilitiesEnsure efficient daily running of the office, including answering calls, responding to inquiries, directingand educating visitors and vendors as requiredGeneral administrative duties – filing, copying, scanning, etc. Managing outgoing and incoming mail processesSupport with vendor management, liaising with serviced office company re monthly office rent and service invoicesEnsuring office is fully stocked of all stationery, marketing and other business materialsEnsure readiness of meeting roomsSubmit expenses and ad hoc support with expense reporting as neededSupport with input into the client record management system i. e.
calls, contacts, emailsAssist with organizing marketing efforts and client events, attending when requiredSupport with ad hoc client administration requests i. e. issuing engagement letters, document managementAny other tasks deemed necessary for the efficient running of the businessSkills & Experience3 years of experience in a similar office administration capacityExperience obtained within a similar field i. e.
legal, financial services or accountancy is strongly preferredAbility to provide support to senior management independently handling a variety of administrative tasksStrong skills in Microsoft Suite of Products, including Word, Excel and PowerPointHighly organized with the ability to manage time effectively within a deadline driven environmentHigh level of interpersonal skills with excellent verbal and written communicationDemonstrable ability to effectively problem solve, be proactive and can work well unsupervised using own initiativeExcellent attention to detail and ability to exercise discretion and confidentiality in all matters
