Job Summary: We are seeking a resourceful, detail-oriented, and digitally savvy Event & Social Media Manager to lead the planning and execution of both Oaktech-hosted events and our external industry presence—while also overseeing our digital storytelling and online brand presence. This hybrid role is critical in reinforcing Oaktech’s thought leadership in investment circles, ensuring that every event is not only flawlessly managed but also amplified through strategic social media content and campaigns. Key ResponsibilitiesEvent Preplanning & CoordinationPlan and manage Oaktech-hosted events end-to-end, including sourcing venues, vendors, curating guest lists, and preparing materials.
Create detailed planning timelines, run-of-show documents, and coordination briefs to ensure seamless execution. Coordinate pre-event logistics with stakeholders, internal teams, and vendors. · Prepare presentation decks, social media graphics, one-pagers, and other event assets. Monitoring Industry Networks & EventsMonitor investor networks, industry platforms, and partner organizations for relevant upcoming events and speaking opportunities. Maintain a real-time calendar of key external events, alerting the team of relevant engagements and deadlines. RSVP & Attendance ManagementSubmit RSVPs for all external industry events accurately and on time. Track deadlines for registration, early-bird rates, and cancellations to avoid unnecessary costs.
Confirm attendance with internal team members and respond promptly to invites. Executive CoordinationAssign appropriate executives or team members to represent Oaktech at key events. Prepare briefing documents, event agendas, and logistics details for each attendee. Support smooth coordination for speaking opportunities, panels, or high-impact networking. Travel & LogisticsArrange and manage executive travel, hotel bookings, and local transportation for events. Create travel packets with schedules, maps, and event details to ensure seamless movement. Internal Alignment & ReadinessCollaborate with BDRs and internal leads to complete pre-event checklists. Ensure key meetings are booked in advance for investor engagement and lead generation.
Work closely with business development to align goals, track event-related outreach, and optimize team presence. Budget & Cost TrackingManage budgets for each event, keeping detailed records of expenses such as venue, travel, and registration fees. Proactively monitor cancellation windows and cost-saving opportunities. Post-Event ReportingCompile feedback, analyze performance, and summarize key takeaways from each event. Coordinate follow-ups, ensure action items are assigned, and maintain momentum post-event. Social Media ManagementContent Strategy & PlanningDevelop and maintain a monthly social media content calendar aligned with upcoming events, product milestones, and company news.
Collaborate with the marketing team to draft, schedule, and publish content across platforms (LinkedIn, Instagram, Facebook, etc. ). Event Promotion & Live CoverageCreate buzz around Oaktech-hosted and attended events through strategic pre-event promotions. Provide real-time social media coverage (photos, videos, stories) during key events. Coordinate with photographers/videographers when necessary. Audience Engagement & GrowthActively grow Oaktech’s online following using content optimization, hashtags, partnerships, and targeted campaigns. Build and nurture an engaged online community, fostering meaningful interactions with investors, partners, and the broader audience. Monitor social channels for comments, messages, and opportunities to engage with investors, partners, and the broader community.
Consolidate and track social media leads, inquiries, and partnership opportunities, ensuring they are captured in the CRM or lead tracking system for follow-up. Analytics & Performance TrackingMeasure performance of social media campaigns and event posts using analytics tools. Present monthly reports with insights and recommendations for optimization. Requirements3+ years of experience in event planning, executive coordination, or social media management (preferably in corporate or investor-facing environments). Proven experience managing events and social media channels simultaneously. Exceptional organizational and time management skills; ability to juggle multiple projects under pressure. Strong written and verbal communication skills with a creative eye for storytelling.
Proficiency in G-Suite, Asana (or similar PM tools), Canva, social media schedulers (Buffer, Later, or similar), and CRM systems. Bachelor’s degree in Marketing, Communications, Business, or a related field preferred. What We Offer: $6 to $16+ per hour, depending on experience and skill level.
