POSITION OVERVIEW: As Online Sales Coordinator, you will play an essential role in the day-to-day operations of our wholesale online business. With a focus on structure, accuracy, and service, you will support key processes including customer data management, order handling, delivery coordination, and seasonal sales preparation.
The role suits someone who is organised, proactive, and skilled at working across teams to support seamless execution. You will report to the Online Wholesale Account Manager and work closely with internal stakeholders across the business. As part of our ongoing efforts to streamline operations, the role also includes selected tasks related to our consignment business. TASKS & RESPONSIBILITIES: Sales Coordination & Customer ManagementMaintain and update customer master data in M3. Set up new wholesale online accounts, ensuring accurate operational alignment. Coordinate preorder confirmations and support seasonal buying alignment. Act as the first point of contact for EDI-related topics and troubleshooting.
Collaborate with internal teams to ensure smooth onboarding and account maintenance. Order & Delivery ManagementProcess reorders, confirmations, EAN lists, and PIM sheets for key accounts. Monitor and unblock orders to ensure timely deliveries. Manage and update seasonal stock lists, especially for OTB pushes. Coordinate with Finance and Accounts Receivable on invoice controls and payment follow-up. Track delivery performance and support continuous improvement of operational flows. After-Sales & Return HandlingMonitor after-season return volumes in alignment with budgets and agreements. Track SSP performance by account and style to support planning and sell-through. Support return analysis and optimise workflows for seasonal stock sales.
Seasonal Sales PreparationAssist in building tools for seasonal readiness (order overviews, EDI updates, pricing documentation). Double-check payment terms and order conditions ahead of market openings. Manage in-season return coordination and related documentation. SKILLS & REQUIREMENTS: 1–2 years’ experience in sales coordination, wholesale, or operations support. Strong understanding of wholesale processes, ideally within fashion or e-commerce. Comfortable working with ERP systems (e. g. , M3) and PLM tools. Proficient in Microsoft Office, especially Excel and Outlook. High attention to detail and a structured approach to tasks. Able to work independently and manage several tasks at once. Service-minded with strong communication skills.
Positive, proactive, and solution-oriented mindset. Fluent in English; additional languages are a plus. Experience with EDI processes are a strong plus.
