Application Deadline: 31 July 2026Department: OperationsLocation: JerseyDescriptionThis is an opportunity for a driven and talented individual to make a real difference as part of a growing, empowered, and professional team.The Trainee Operations Administrator will work on a range of matters providing administration services for LHFMJ, in order to support smooth running of the business in day to day activities.The Operation Assistant will assist the Operations Managers and Executive members of LHFMJ, in their day-to-day administrative and non-client related tasks and services. This role will be varied, and assistance will be required to support the Executive Directors and be able to provide support to the Operations Team when necessary.DutiesGeneral Administration:Data inputtingCompletion of monthly expense claims and time recording for Executive DirectorsArrange travel and accommodation, prepare itineraries, record expenses, and ensure all paperwork is available in a timely mannerPrinting, scanning, and filing documentsCalendar and inbox management for Executive DirectorsAllocation of daily paymentsCompletion of Ad Hoc tasks for the DirectorsAssist with specific bank relationships and ensure accuracy in set ups/amendmentsRespond to email and telephone queries as always requested (screening calls)Deal with incoming mail or email on behalf of the DirectorsUndertake personal administrative tasks as required by the DirectorsEnsure that a professional service is always providedReview action point trackers, noting upcoming deadlinesSchedule mentor meetings and follow up on action pointsUpdating annual leave and KYC details for the Executive DirectorsOrganise employee of the month awardsAssist with administrative tasks for the including bank reconciliations and staff onboarding tasksAssist with any other ad hoc tasks as requested by Operations ManagersOperations:Support or lead specific internal operational projectsSupport in streamlining operational processesUndertake required business analyses as and when requiredBuild MI reporting as required, undertaking the required check steps prior to the final management review Support on the delivery of weekly / monthly management reportsSupport in the delivery of internal trainingAssist with relationships with specific banks and ensure accuracy in set ups / amendmentsClient Operations Administration:Support with all relevant project administrative tasks as devised by Line ManagerSupport in the progression of a number of key projects, which may be specific to Jersey or will have a Group focusWork with the business to provide required support when progressing certain tasks that ultimately will improve existing processesSupport the business with projects requiring data collation in capturing the relevant / required data whilst ensuring minimal impact to the teamsAttend meetings as and when required, to take notes whilst understanding overall project parameters and contributing to meetings, thus ensuring all relevant key points are captured and understoodAssist with management reporting as requested by the business or as directed by Line ManagerPlan, organise and manage own workload to ensure contribution to the overall process and to ensure that tasks are completed in a timely mannerSupport with procedural / policy writing when new processes are adjusted / updated to ensure good governanceSupport on all aspects of our internal business shared mailbox process and required enhancementsSupport with data management requirements to ensure consistencies across multiple systemsWork on cross jurisdictional projects as directed by LMOffice & Facilities:Support on required premises or facilities related projects within agreed timelinesContract and supplier management, acting as a point of contact for allocated relationshipsSupport on requirements for all office facilities related matters, including any matters relating to the lease of the office premisesMaintain accurate registers of all IT related requirementsIn addition to the duties listed above, the Operations Administrator may be requested to perform any other ad hoc duties or projects as requested by the Management Team.Person SpecificationQualificationsEducated to at least ‘A’ level standard or equivalent (grades A-C), and GCSE Mathematics and English (Grades A-C / 9-4), and a willingness to study towards a relevant professional qualification.Skills and ExperiencePrevious Administrative/Operations experience is desirable but not necessaryThe candidate will be expected to be efficient in Outlook and confidently deal with routine emails, enquiries, and telephone callsThe candidate must have a strong interest in ITThe candidate must have excellent communication skills with the ability to work within a team and work independently using their initiativeHigh attention to detail and accuracy, with an ability to prioritise, multitask and meet deadlinesStrong organisational and time management skills are essentialTechnical KnowledgeTraining on internal systems, controls and procedures will be given, however, it is essential that the job holder has proven computer literacy skills, in particular Outlook, Excel, and PowerPointBenefitsLangham Hall invests in people and in developing them professionally.
