Job Description
Purpose of the roleDevelop and lead the Upstream Logistics operation to deliver on its strategy and targets for service, capacity, cost, compliance and sustainability. ResponsibilitiesSupply Chain strategyWork with the Head of Supply Chain Operations to help define and implement the Phoebe Philo supply chain strategy, focusing on Upstream LogisticsContinuously research and stay abreast of developments in the field of Upstream LogisticsInbound logisticsManage shipments of samples (raw materials and product development), raw materials shipments and finished goods shipmentsOrganise and follow all in-bound shipments by air, sea and road freight to ensure goods are promptly dispatched and tracked through to delivery into the DC Create quotations for import/export, consolidating shipments where possible to achieve best price and service Estimate DC throughput and follow-up on any booking-in discrepancies with DC and supplier Check supplier documentation is correct for each shipment, including pre-advice for DCs Resolve issues during the shipping period, communicating any delays to the relevant departments Track KPIs for quality, efficiency, sustainability and complianceIdentify issues and opportunities, and take actions to improve performanceMaintain awareness of customs compliance updates and regulations to facilitate logisticsQuality controlEnsure that inbound QC processes are carried out correctly upon arrival of finished goods shipments at Alpi to the specification of Phoebe Philo’s QC teamsWork with the QC teams to resolve any issuesTrack KPIs for accuracy and efficiency of the QC processIdentify issues and opportunities, and take actions to improve performanceStorageManage putaway and storage of stock at AlpiDevelop and update the operating procedures for putaway and storage, and ensure that these are implemented at AlpiDevelop, update and deliver training on how to correctly carry out the operating proceduresWork with the Alpi on-site coordinator to ensure that procedures are being followed every dayRegularly visit the Alpi warehouse to help ensure that this quality control is working and to engage with the Alpi teams to develop relationship with them, guide and motivate themTrack KPIs for quality, efficiency, sustainability and complianceIdentify issues and opportunities, and take actions to improve performanceInventory managementSupport channel and product teams on process of collating production ordersSupport Collections, Digital, Private Client and Wholesale on actioning allocation and re-allocation of stock across channels, in order to maximise availability and sell-throughEnsure master data is regularly and accurately maintained to support business processesEnsure accuracy of inventory and cost data for financial reportingCompliance and sustainabilityContinuously research and stay abreast of relevant developments in legislationHelp collect data on sustainability for the company’s overall sustainability reportingIdentify issues and opportunities for continuous improvement in the compliance and sustainabilityPlanning and budgeting Work with Head of Supply Chain Operations to agree annual activity plans and budgets for Upstream LogisticsManage spend to budget with help of Head of Supply Chain Operations and monthly updates from FinanceQualifications, Skills, Experience RequiredExtensive experience in upstream logistics within the (luxury) fashion industryExperience with relevant systems, as well as MS OfficeExperience in managing 3PL logistics operationsStrong commercial acumenExperience in building, developing and managing teams Excellence in working under pressure and delivering on multiple priorities Strong initiative taking, ownership and follow-through Strong communication skills and ability to work across internal and external stakeholdersPassionate about work with a ‘can-do’ attitude
