Travel & Meeting Services, AdministratorLocation: Calgary, Alberta (Onsite)Duration: Nov. 10/25 – May 09/26Schedule: Mon–Fri, 40 hrs/weekThe Administrator, Travel & Meeting Services provides comprehensive administrative and operational support to both Corporate Travel and Meeting Services teams. This role is essential to driving efficiency, consistency, and service excellence as our department continues to expand.What You'll DoGeneral AdministrationSupport departmental goals and initiatives.Ensure smooth coordination and communication throughout travel and meeting operations.Travel AdministrationManage the shared Travel inbox, respond to inquiries promptly.Provide coverage during staff absences.Post travel tips and updates for internal awareness.Maintain corporate travel webpage content.Reconcile monthly Travel Card transactions.Support quarterly “Travel Talks” with AMEX GBT.Coordinate travel bookings for United Way events.Meeting Services AdministrationDeliver end-to-end support for meetings and events: research, venue setup, registration, vendor coordination.Keep meeting data up-to-date: rooming lists, budgets, schedules, documentation.Cover for team members during absences.Provide onsite event support.Organize meeting materials: name tags, agendas, signage, shipping.Assist with logistics for High Performance Institute events and Edge program travel.Support large events (Leadership Summit, ERT, Mine Rescue).Manage seasonal support for Nutrien Ag Solutions training (approx. 80 meetings Oct–March).Who You AreProfessional ExperienceBackground in corporate travel coordination/administration, preferably in large organizations.Skilled in processing travel authorizations, expense reports, and reimbursements.Experience supporting large group or event travel is a plus.Administrative & CoordinationAdept at managing multiple, urgent travel requests and last-minute changes.Capable of keeping precise travel documentation and budget records.Knowledgeable about travel policies and expense management systems.Communication & ServiceOutstanding communication skills—verbal and written.Professional, service-oriented, able to work calmly under pressure.Quick, diplomatic problem-solver for travel-related issues.Technical SkillsMicrosoft Office Suite proficiency (Outlook, Excel, Word, PowerPoint).Experienced with travel platforms (AMEX GBT, NEO) and expense systems (Chrome River/Emburse).Detail-oriented with strong organizational and confidentiality skills.Planning & Problem SolvingExcellent analytical and critical-thinking skills.Experience with international travel logistics (currency, time zones, customs, security).Ready to make an impact with your organizational expertise?
