Job DescriptionTrestle Therapy Group is seeking a highly organized and experienced Surgical Scheduler - Regional Manager for Surgical Scheduling to oversee and coordinate all surgical scheduling operations across our therapy practice. This leadership role will involve managing scheduling for outpatient procedures related to therapy, collaborating with medical partners, ensuring operational efficiency, and providing support to clinicians, patients, and families. The successful candidate will be a detail-oriented professional with a strong background in scheduling, administrative operations, and team management within a healthcare environment. Responsibilities:
Supervise the surgical scheduling team and act as the lead point of contact for all therapy-related surgical coordination across regionsSchedule therapy-adjacent surgical appointments with external providers (ENTs, oral surgeons, etc.
) for patients receiving orofacial myofunctional, feeding, and airway therapyMaintain consistent communication with physicians, therapists, clinical staff, and families to ensure appropriate surgical timelines and documentationManage referrals, insurance verifications, pre-authorizations, and records transfer to surgical providersCreate and implement streamlined processes for surgical scheduling in collaboration with the clinical leadership teamMonitor and analyze performance data related to surgical scheduling efficiency, cancellation rates, and patient satisfactionTrain and support scheduling staff and ensure compliance with HIPAA and other regulatory standardsResolve patient concerns or scheduling conflicts with professionalism and discretionEnsure high levels of coordination and follow-up care between surgical providers and in-house therapy servicesQualifications:
Bachelor’s degree in Healthcare Administration, Health Information Management, or a related field (Master’s degree preferred)Minimum of 5 years of experience in medical or surgical scheduling, with at least 2 years in a leadership or regional oversight roleKnowledge of ENT, oral surgery, and pediatric-related therapy procedures is strongly preferredStrong understanding of insurance pre-authorization processes and HIPAA regulationsExcellent communication, problem-solving, and leadership skillsExperience with scheduling software and electronic medical record (EMR) systemsAbility to manage competing priorities and maintain confidentiality in a fast-paced environment
