Job Description

The Operations Admin supports business operations by managing communication, processing applications, ensuring accurate reporting, and maintaining CRM data. This role plays a critical part in ensuring smooth workflow, data integrity, and accountability across teams.Key ResponsibilitiesEmail Communication ManagementHandle and organize email correspondence professionally and promptly.Insurance Application ProcessingReview client applications for completeness and accuracy.Prepare and submit new insurance applications.Ensure all documents and signatures are properly collected.Carrier Submission & Follow-UpSubmit applications to insurance carriers and confirm receipt.Track application progress and follow up on pending items.Commission Tracking & CoordinationRecord submitted applications for commission tracking.Track carrier payments and coordinate with finance for verification.Production & ReportingPrepare the Weekly Production Summary (policies written, revenue, applications).Maintain and update Carrier Submission Trackers and Status Reports.CRM & Data Accuracy (HubSpot)Audit CRM data, workflows, and contact lists for accuracy.Update and flag issues for correction to ensure data integrity.Team Oversight & AccountabilityConduct brief check-ins with team members to track progress and productivity.Document updates and share insights with leadership.Meetings & DocumentationTake meeting notes and summarize action items.Maintain and update training materials and SOPs as workflows evolve.Experience and ProficiencyExcellent English communication skills (written and verbal).Proven experience in operations or administrative support.CRM management experience (preferably HubSpot).Strong skills in Microsoft Word and Excel.Experience in insurance, financial services, or healthcare marketing is an advantage.Tech-savvy and adaptable to new systems and tools.For fast application process, please send your CV to myro@sphererocket.com
