We are seeking a Virtual Assistant to the Founder to ensure seamless execution across all operational, financial, and administrative aspects of a fast-paced, international longevity startup.This role is ideal for someone who thrives on structure, precision, and proactive support - ensuring that the founder can operate at maximum efficiency across multiple time zones, projects, and stakeholders.The ideal candidate is a doer, not a strategist: a dependable professional who keeps the moving parts of a complex organization running smoothly, with exceptional attention to detail and follow-through.Key ResponsibilitiesFounder Support: Manage the founder’s daily priorities, schedule, and communications to ensure smooth coordination across projects and departments.Documentation & Contracts: Track and organize agreements, contracts, and legal documentation in collaboration with finance and legal partners.Finance & Compliance: Liaise with accountants, tax advisors, and payroll providers across multiple jurisdictions (US, Croatia, EU); maintain orderly financial and compliance records.Process Management: Support the creation and maintenance of internal systems for expenses, reimbursements, vendor management, and reporting.Communication & Coordination: Act as a bridge between internal and external stakeholders, ensuring clear and timely information flow.Logistics & Events: Handle travel bookings, meeting coordination, and event logistics as needed.Operational Optimization: Anticipate needs, identify bottlenecks, and continuously improve workflows for greater clarity and speed in execution.Profile6+ years of experience in executive assistance, operations, or finance administration, preferably in startups, healthcare, or international organizations.Strong understanding of contracts, bookkeeping basics, and compliance processes.Experience working with multi-jurisdiction entities (US, EU, Croatia).Highly organized, reliable, and detail-oriented, with the ability to manage multiple priorities calmly under pressure.Excellent communication and coordination skills; professional and adaptable.Proactive and execution-focused - someone who solves problems quickly and ensures nothing falls through the cracks.Comfortable working directly with the founder in a dynamic, evolving environment.Work ConditionsPart-time: ~3 hours per daySchedule: Primarily afternoon/evening hours (US Pacific time overlap)Weekend availability may be requiredPartially remote – office presence may be requested occasionallyAbout Ani BiomeAni Biome is a science-driven longevity company pioneering the field of Affectoneuroimmunology (ANI).
