DescriptionRole: Volunteer and Education CoordinatorModality: OnsitePlace: Op Smile Dominican RepublicCity: Santo Domingo, Dominican RepublicThe Volunteer and Education Coordinator is an integral part of the foundation and is responsible for managing all volunteer and education initiatives, including effective communication and reporting to ensure the goals of recruitment, education, and training of volunteers are met. This role involves logistical coordination of educational programs and the development of workshops and activities for all medical and non-medical volunteers of the foundation. The Volunteer and Education Coordinator reports to the Executive Director, under the supervision of the Programs Coordinator, and works closely with the Patient Coordinator and Center Coordinator to ensure the planning, execution, support, and follow-up of volunteers and educational programs meet the established goals and objectives, aligning with organizational strategies.Main FunctionsGeneral Volunteer Functions:Recruit medical, non-medical, and student volunteers to support various areas of the foundation. Coordinate all stages of the volunteer lifecycle, including selection, onboarding, induction, participation, evaluation, and recognition. Develop relationships and work across departments to manage the volunteer experience. Establish and implement standard procedures and policies to provide the highest level of service to volunteers. Ensure volunteers are fully informed and have easy access to required information related to their needs. Identify volunteers for global medical programs as requested by Volunteer Experience Coordinators, matching the requirements of the positions. Create and present training tools and support resources that enable global staff working directly with volunteers to better prepare, engage, recognize, and evaluate volunteers. Collect and evaluate feedback on the volunteer experience and work with global Volunteer teams to promote and follow up on improvements. Ensure all volunteer policies and documents are up-to-date and accurate in Act as Volunteer Experience Coordinator for specific programs as assigned by the Executive Director. Coordinate volunteers for new training topics/needs for the current team, providing resources, tools, and training checklists. Assist in creating training tools for volunteer management staff in various offices and functions as needed. Manage and update the volunteer management system and the repository of Training Path volunteers. Ensure all medical and travel documents are fully prepared before volunteers travel abroad. Assist with tracking and reporting all volunteer activities, including program participation, volunteer expenses, media interactions, conference events, fundraising, etc. General Education FunctionsCoordinate and manage the completion, collection, and organization of educational programs. Maintain an updated database on education and training, contributing relevant data to the foundation's monthly reports and program reports. Manage all logistics associated with planning, executing, and results of training and conferences, including administrative and logistical tasks: booking flights, forming accredited volunteer teams, organizing meals, local transportation, supplies, and medical services, requesting visas, completing reports, working with other departments to ensure all aspects of the program are covered, etc. Execute in-country training programs, including educational days, specialty-specific training courses, and conferences. Implement pre- and post-tests, participant evaluations, and program assessments as needed to report on the success of each training provided. Work closely with stakeholders to provide necessary support to educators to ensure courses are fully implemented. Collect and compile reports on statuses, developments, situations, achievements, and concerns. Help maintain an accurate inventory of supplies and equipment related to training and track materials and logistics as needed. Collaborate with the Programs department to identify and address volunteer training needs. Facilitate review and follow-up actions required by volunteer evaluations. Research areas of interest for new educational and training materials. Foster partnerships with higher education centers and leverage these partnerships to benefit programs and patients. Student ProgramsOpen new student clubs. Visit schools that are or wish to be part of student programs for meetings with club boards, school directors, and sponsors. Participate in global planning for international student activities. Develop an annual or semi-annual work plan for student clubs. Conduct quarterly evaluations of progress. Promote and support the formation of student clubs in schools and universities. Serve as the primary contact for club boards and coordinators. Participate in club meetings to organize events, program participation, and explain the registration process for international conferences. Create and support individual annual plans for each student club to achieve their objectives. During Surgical ProgramsOrganize the participation of civilian, student, and corporate volunteers in surgical programs. Ensure volunteers are transported on time to and from the hospital. Ensure local medical volunteers are comfortable, receive education, and provide quality care. Manage evaluations of medical volunteers and upload them to their GVMS profiles. Follow up on educator and trainee evaluations to ensure timely completion of task. Communication/MarketingPlan marketing strategies with the Communication Coordinator for recruiting new volunteers and various volunteer and education activities. Provide information on various activities to the Communication Coordinator. Develop newsletters and other marketing materials focused on volunteering and education in collaboration with the Communication Coordinator. GeneralSupport in tasks requested by the Board of Directors and the Executive Director. Assist other administrative staff in their functions during absences (vacations, illnesses, resignations, etc.) when required. RequirementsRequired Profile for Volunteer and Education Coordinator:Bachelor's degree in Business Administration, Marketing, International Business, Industrial Engineering, or Psychology. Bilingual: English/Spanish (Advanced in both languages). More than 1 year of experience in team management or support. Work experience in the context of an international NGO (Preferred). Minimum of 2 years of active participation in program or project coordination. Availability to travel domestically and internationally, as well as work nights and weekends when required.
