Position Summary: We are seeking a highly professional, proactive, and resourceful Executive Assistant to support our Chief Financial Officer (CFO), Chief Information Officer (CIO) and other assigned leaders.

What You’ll Do:

✔ Strategic Calendar & Meeting ManagementManage Outlook calendars with discretion and foresight—ensuring top priorities are scheduled, aligned, and protectedIndependently evaluate meeting requests and proactively adjust as needed to meet shifting prioritiesCoordinate complex internal and external meetings, including agendas, logistics, and materials for both departmental meetings and board meetings.

✔ Communication & Confidential SupportServe as liaison between assigned leaders and internal/external stakeholders—knowing when to redirect, escalate, or resolve on their behalfDraft, review, and send executive-level communication with clarity, accuracy, and professionalismMonitor and prioritize emails and correspondence, ensuring timely follow-up and responsesRepresent assigned leaders with tact, diplomacy, and absolute confidentiality✔ Project Coordination & Follow-UpProactively track key projects and initiatives, ensuring deadlines and deliverables are metIndependently coordinate with cross-functional teams to gather updates and move priorities forwardMaintain awareness of key initiatives, people, and timelines to serve as an extension of assigned leaders in action and mindset, proactively asking questions when necessary✔ Travel, Reporting & Special ProjectsArrange travel and itineraries, ensuring efficient and seamless experiencesPrepare expense reports, manage departmental purchases, and track budget items as neededCreate and edit presentations, spreadsheets, reports, and visual materials for internal and external useAttend select meetings to take notes, document action items, and ensure deliverables are completed accordinglyWhat You Bring:

Minimum 5 years of experience supporting a senior executive, preferably in a dynamic, fast-paced environmentAdvanced skills in Microsoft Office Suite (Outlook, Teams, SharePoint, Word, PowerPoint, Excel); comfort working with data, visuals, and presentationsExceptional organizational skills with the ability to independently prioritize, pivot, and manage multiple priorities with attention to detailConfidence and discretion when handling confidential informationHigh emotional intelligence, professional presence, and adaptability when interacting with executives, stakeholders, and cross-functional partnersA strong sense of ownership, accountability, and initiative—someone who proactively anticipates rather than reactsSuccess in This Role Looks Like:
