We are a well-established Brain Health Centre located in North Vancouver. We have an opening for 1 full-time Clinical Operations Manager position. All training will be provided on the job. The successful candidate will have experience assisting in the intake and administration of patients. An ability to work independently and follow instructions is a must for this position, and all candidates must be capable of handling difficult situations with a positive attitude and composure. Position Overview:

We are seeking a dedicated and experienced Clinical Operations Manager to oversee the daily operations of our cutting-edge mental health center, specializing in Neurofeedback, Transcranial Magnetic Stimulation (TMS), Photobiomodulation, Biofeedback, and QEEG Brain Mapping. The Clinical Operations Manager will play a pivotal role in ensuring the smooth and efficient functioning of the Elumind Centres, managing a team of technicians, and optimizing the client’s experience. Responsibilities: Team Leadership & DevelopmentSupervise and lead a team of technicians delivering Neurofeedback, TMS, Photobiomodulation, Biofeedback, and QEEG Brain Mapping.

Recruit, onboard, and train new technicians, ensuring they are equipped with the knowledge and skills required for success. Conduct regular performance evaluations, provide constructive feedback, and support professional development. Set clear expectations and team goals, fostering a collaborative, accountable, and supportive work culture. Promote a positive and healthy team environment through team-building initiatives and support for staff well-being. Operational OversightDevelop and manage daily and weekly schedules to ensure consistent coverage for all therapeutic services. Coordinate with clinicians and administrative staff to optimize patient flow and scheduling efficiency. Allocate resources effectively to balance technician workload and maximize service delivery.

Oversee inventory of therapeutic equipment, supplies, and materials required for daily operations. Coordinate with procurement to ensure timely replenishment and adequate stock levels. Quality Assurance & Continuous ImprovementMonitor the quality and consistency of therapeutic interventions, ensuring adherence to established clinical protocols and standards. Implement continuous improvement initiatives to enhance the efficiency and effectiveness of clinical services. Proactively address any operational or service-related issues to maintain high standards of care. Analyze feedback from clients and staff to identify areas for operational enhancement. Client Experience & SatisfactionCollaborate with clinicians and front-desk staff to create a welcoming and professional environment for clients.

Ensure prompt and professional responses to client inquiries, concerns, and feedback. Develop and implement strategies to enhance client satisfaction and promote long-term engagement. Compliance & ReportingMaintain up-to-date knowledge of relevant mental health regulations and industry best practices. Ensure all operations comply with legal, regulatory, and ethical standards. Maintain accurate documentation related to schedules, client records, protocols, and internal processes. Generate regular reports on clinic performance, technician productivity, client attendance, and other key operational metrics. Technology & Systems ManagementTrain staff on operational systems and ensure consistent, compliant use. Identify and recommend technology solutions to improve operational efficiency and service delivery.

Strategic & Analytical ResponsibilitiesContribute to long-term operational planning, including clinic expansion, process redesign, and service development. Analyze operational data and key performance indicators to identify trends and support informed decision-making. Collaborate with leadership on budget planning, resource allocation, and cost-efficiency initiatives. Cross-Departmental CollaborationServe as a liaison between technicians, clinicians, and administrative staff to support alignment and seamless communication. Coordinate with marketing and outreach teams to support operational execution of workshops, events, or new service launches. Business Development SupportSupport leadership in identifying growth opportunities, including the introduction of new services or improvements to existing offerings.

Assist with external partnership coordination and operational aspects of business expansion efforts. Leadership SupportAct as the right hand to the Clinical Director or executive leadership, providing day-to-day operational oversight and stepping in to resolve urgent clinical or administrative challenges as needed. Qualifications: Previous experience in a clinical operations management role, preferably in a mental health or medical setting. Strong organizational and time-management skills. Excellent communication and interpersonal abilities. Leadership experience with a proven track record of managing and motivating teams. Knowledge of regulatory requirements in the healthcare field. Proficiency in using software for scheduling, reporting, and documentation. Working Conditions:

The role primarily involves working within a clinical setting. The Clinical Operations Manager will interact with clients, clinicians, technicians, and administrative staff. The position may require occasional evening or weekend hours to accommodate clinic needs. A bachelor's degree in a related field (e. g. , healthcare administration, psychology) is preferred. A master's degree is a plus.
