Position Summary: The Administrative Assistant will be responsible for performing a variety of administrative and clerical tasks to support day-to-day operations. The ideal candidate is proactive, efficient, and able to thrive in a fast-paced construction environment. Key Responsibilities: Provide administrative support to project managers, site supervisors, and office staffOrganize and maintain digital and physical filing systems (permits, drawings, contracts, etc.
)Assist with the preparation and submission of tenders, RFIs, submittals, and change ordersTrack project documentation, schedules, and reportsCoordinate meetings, take minutes, and distribute notesCommunicate with clients, subcontractors, and suppliers as neededMaintain inventory of office supplies and order as requiredAssist with invoice tracking, time sheets, and other basic accounting tasksSupport health & safety documentation and compliancePerform general office duties such as answering phones, managing emails, and data entryQualifications:
2+ years of administrative experience, ideally in the construction or trades industryStrong organizational skills and attention to detailProficiency in Microsoft Office (Word, Excel, Outlook) and construction software (Procore, Buildertrend, or similar) an assetExcellent verbal and written communication skillsAbility to manage multiple tasks and work independentlyFamiliarity with construction documentation is an assetHigh school diploma required; post-secondary education or office administration training preferred
