Job Description

The Residential Agency Administrator provides essential support to the residential sales and leasing team, ensuring smooth daily operations, accurate documentation, and exceptional client service. The role is critical in coordinating administrative processes, maintaining compliance, and supporting agents in delivering seamless property transactions. Key ResponsibilitiesAdministrative SupportPrepare and process listing agreements, sales and lease contracts, and agency formsManage property listings across internal systems and external portalsMaintain and update CRM/database records with accuracyCoordinate viewings, property inspections, and key handoversHandle incoming calls, emails, and inquiries on behalf of the agency teamDocument Management & ComplianceEnsure all listings meet local regulatory requirementsTrack and file KYC/client documentation and ensure compliance with company policiesSupport with issuance of agency agreements, MOU, tenancy contracts, and related documentsAssist with regular audits and document trackingClient & Team CoordinationLiaise with landlords, tenants, buyers, and developers to coordinate documentation and appointmentsSupport the sales and leasing team with meeting preparation, reports, and client follow-upsOrganize property handovers, snagging appointments, and move-in/out documentationMarketing & Reporting SupportAssist with preparation of property brochures and coordination with marketing teamManage CRM system and property portalsHelp compile weekly and monthly reports on listings, deals, and team KPIsCoordinate with photographers, signboard suppliers, and staging consultants as neededSkills, Knowledge And ExperienceMinimum 2 years’ experience in real estate administration or similar roleStrong knowledge of real estate documentation and CRM platforms (e.
