We are seeking a highly organized and proactive PMO Project Coordinator to join our dynamic Product and Development organisation. In this role, you will support project delivery by coordinating activities across multiple initiatives, maintaining project documentation, and ensuring governance standards are upheld. You'll work closely with Product Managers, Developers, senior leadership, external stakeholders, and cross-functional teams to help keep projects on track and aligned with strategic objectives.
This role requires one day per week (Tuesday) in our Kilkenny HQ. What you will be doing: Provide day-to-day coordination support across projects within the PMO portfolioIdentify and assess risks to the success of the project. Agrees the project approach with stakeholders, and prepare realistic plans (including quality, risk and communications plans) Track activities against the project schedule, manage stakeholder involvement as appropriate Build reporting/status updates, agenda stakeholder and owner meetings Maintain project documents, plans and other information in the project repository ensuring easy access and usability by the project team, follows up on tasks where appropriate.
Create PowerPoint and Visio documentation(or similar tooling) for the leadership team to facilitate understanding of complex project issues as well as to document process flows. Support PMO governance by ensuring compliance with project methodologies and frameworksSchedule and organize project meetings, prepare agendas, capture minutes, and track follow-up actionsEnsure feature development follows the Product Development Lifecycle, and all deliverables from that process are created.
Participate in and support Agile ceremonies such as daily stand-ups (huddles), sprint planning, and retrospectivesAct as a Scrum Master where required, ensuring sprint goals are clear, blockers are removed, and delivery stays on trackCollaborate with the Product team to ensure all items related to a release are prioritised effectivelyPrior to each sprint, coordinate the delegation of backlog items to the development team, facilitating story point estimation and sprint commitmentLead project reporting and dashboards for stakeholders and leadership teamsCoordinate resource allocation and help maintain the project resource planSupport change control processes and document version managementIdentify opportunities to improve PMO processes and toolingRequirementsEssential:
Bachelor's Degree in Computer Science, Information Systems, or other related field, or equivalent work experienceAt least 5 years proven experience in a similar PMO or project coordination roleStrong understanding of project management methodologies (e. g. , PRINCE2, Agile, Waterfall)Excellent organizational and time-management skillsFamiliarity with project management tools such as MS Project, Jira, or SmartsheetClear and concise communication skills, both written and verbalAttention to detail and ability to multitask in a fast-paced environmentDesirable: PMO or project coordination experience in software development industryRelevant certifications (e. g. , CAPM, PRINCE2 Foundation, P3O)Experience with data analysis and visualization tools (e. g.
