The Executive Support Officer provides high quality, confidential, executive administrative support to the Executive Director, Community Services, Seniors and Carers and coordinates activities across the office. As The Executive Support Officer, You WillProvide confidential executive administrative and business support to the Executive Director, including maintaining effective time management practices through coordinating diary appointments and preventing unnecessary interruptions, organising meetings and other events that may require preparation of agendas, set up of technical equipment and recording of minutes. Assist with identifying, developing and implementing executive support procedures and systems to accommodate the demanding environment and ensure the efficient scheduling of the Executive Director's commitments, correspondence, appointments and overall office management.
Manage the prioritisation and processing of emails to the Executive Director and support the Office of the Executive Director with managing the office's shared mailbox by determining priority, initiating necessary action and undertaking the preparation of responses in the form of emails, letters, minutes and other correspondence on behalf of the Executive Director. Coordinate the flow of correspondence and signing in and out of the Office of the Executive Director's office including “bring-ups” and tracking to ensure deadlines are met.
Identify emerging issues and trends within Community Services, Seniors and Carers which may impact the office, clients, the community and/or the department and escalate concerns to the Principal Executive Officer or Executive Director as appropriate. Consult and negotiate with executive management, senior officers and representatives of business units within the department and other government agencies, private or community organisations to resolve any matters as requested by the Executive Director or Principal Executive Officer to ensure the provision of high-quality administrative support functions. Organise travel arrangements including the planning of itineraries, travel bookings, accommodation and preparation of expense claims.
Monitor and screen incoming telephone calls to the Office of the Executive Director and assist with or redirect enquiries where appropriate. As a member of the team, undertake tasks allocated by the Executive Director and Principal Executive Officer in a constantly changing work environment to support innovation and efficient delivery.
