Job Description
Responsible for managing the end-to-end administration of security access cards and credentials for employees, contractors, and visitors in line with company security policies, access control procedures, and compliance requirements. Ensure accurate issuing, updating, and deactivation of access cards and maintain secure and auditable records of all access activities and authorizations in the organization.RequirementsAccess Card Issuing and ManagementIssue, activate, deactivate, and replace physical access cards in accordance with approved access authorizations.Process access card applications, verifying approvals, ID documents, contract status, and clearance levels.Maintain strict controls over blank cards, issued cards, temporary passes, and lost/stolen reports.Access Control System AdministrationCapture and update user profiles in the access control system (e.g., Gallagher, Babylon, Impro).Maintain current access permissions according to role-based access levels and site-specific security zones.Flag and escalate any access control anomalies, unauthorized attempts, or duplicated card activities.Records and Audit ComplianceMaintain accurate records of all issued, expired, and revoked access cards.File and archive access authorizations, contractor registers, visitor logs, and cardholder agreements.Prepare reports for audits and investigations, including access history, logs, and exception reports.Visitor and Contractor Access CoordinationFacilitate issuing of visitor and contractor access cards, including temporary credentials.Coordinate with line managers, HR, and facilities for onboarding and offboarding security clearance.Ensure visitors are registered, signed in, and briefed on access restrictions and escort protocols.Card Stock and Asset ManagementMonitor inventory levels of access cards, printers, ribbons, and other consumables.Arrange card printing, maintenance of badge printers, and assist with badge design and updates.Ensure secure storage of access card stock and supplies.Service and Stakeholder SupportServe as the first point of contact for access-related queries, card reissues, and status updates.Support employees and contractors with technical or procedural issues related to access control.Liaise with the Control Room, HR, IT, and Facilities on integrated access requirements and escalations.CompetenciesAcquiring InformationChampioning Customer NeedsDemonstrating Self-Insight and AwarenessSharing InformationCore CompetenciesFunctional KnowledgeExperience in card enrolment, access group allocation, Biometrics setup, and deactivation/ reactivationprocedures; Customer Service & Frontline Communication; Experience in interacting with staff, contractors, and visitors; Familiarity with high-security protocols, dual-authentication systems, etc.Functional SkillsAttention to detail, organizational, and data accuracy; Verbal and written communication; Proficiency inMicrosoft Office (Excel, Outlook, Word) and security databases; Trustworthy, professional, and able to handle confidential information discreetly; Customer-focused with the ability to work under pressure and meet deadlinesCompetencies (Behaviour)Diplomatic; Dynamic; Respect; Helpful; Responsible; Approachable; Assertive; Integrity; Customer Focus;Values Aligned with company ValuesEducationNQF 4: Grade 12Additional InformationCertification, Qualifications And ExperiencePSIRA Grade C registration (minimum) preferred.Post-matric certificate in Security Administration, OfficeAdministration, or knowledge/ certification of IT Systems will be an advantage.2-3 years’ experience in a security administrative or access control environmentExperience working with access control systems (e.g., Babylon, Gallagher, Impro, Lenel) is preferredFamiliarity with corporate security policies and facilities procedures.
