The Administrative Assistant plays a critical role in supporting the successful execution of complex gas infrastructure projects. This position is responsible for performing clerical duties in support of Company employees. The Administrative Assistant may be assigned to specific personnel or tasks or may be asked to perform functions for multiple groups, gas replacement projects and collaborating with internal and external stakeholders throughout all phases of project delivery—including planning, design, execution, monitoring, and closeout.ResponsibilitiesAdministrative functions as assigned (including but not limited to reconcile invoices, duplication services, prepare and maintain spreadsheets and tracking documents, enter into and recover data from SAP, etc.)Maintain and organize project documentation in support of work projects and/or programsCoordinate correspondence and distribution of project documents. Administrative functions as assigned (reconcile invoices, populate spreadsheets, enter data into SAP, etc.)Gather, collate and/or assemble documents, scan documents and/or compile data into electronic formats on mass storage devices as directed and deliver to Company representatives according to agreed upon timeframes.Provide weekly/monthly updates on project costs, progress, and any issuesCommunicate any observed non-compliance or safety concerns immediatelyPromote a safety-first culture and adherence to the Accident Prevention ManualCollaborate with internal/external stakeholders to resolve invoicing/billing issuesEnsuring a safe work environment through process and procedure adherence and safety metricsConsiders innovative ways to undertake work, promoting automation and efficiencies in day-to-day work streamsWorks with senior leadership on the risk definition, cost, and the mitigation action analysis.QualificationsHigh school diploma (or equivalent) and typically 3+ years of relevant work experience.Proficient in Microsoft Office: Excel, word, outlookProficient in Maintaining updating and accuracy of spreadsheetsSAP experience and experience with delivering project orientation to new project related personnel is preferredUnderstanding of quality assurance processes and implement with project structure.Proven ability to work in a team environmentSecurity Clearance RequirementNoneThis position is part of our Critical Infrastructure team.For more than 80 years, our experts have designed and delivered the critical infrastructure that connects and protects communities around the world.
