Administrative Assistant📍 Location: Riyadh, KSA🏠 Work Model: Hybrid (3 days from office / 2 days from home)📝 Role SummaryWe are looking for a highly organized, senior-level Administrative Assistant based in Riyadh to lead our daily office operations. This role is designed for a professional who can act as the operational engine of the office, ensuring a seamless workplace environment while supporting the team's excellence through proactive management and process optimization.🚀 Key ResponsibilitiesOffice Operations Management: Oversee all day-to-day office services, including reception, mailroom, security administration, and high-level supply management to maintain a premium workplace standard.Event & Meeting Support: Lead the end-to-end logistics for executive meetings and office events, managing room bookings, complex agendas, hospitality, and technical requirements.Administrative Coordination: Maintain and audit office records, databases, filing systems, and distribution lists, ensuring full compliance with corporate standards and local regulations.Stakeholder & Vendor Liaison: Serve as the primary point of contact for staff, VIP visitors, and service vendors, managing contracts and maintaining high-quality professional relationships.Process & Efficiency Improvement: Proactively identify and implement improvements to office workflows, tools, and processes to support the Country GM’s operational excellence.👤 Candidate ProfileExperience: 5+ years of experience in office management, senior administrative support, or executive assistance within a corporate or international environment.Languages: Professional fluency in both English and Arabic is required (essential for local vendor liaison and corporate reporting).Vendor Management: Proven experience in managing service providers, negotiating contracts, and ensuring service-level agreements (SLAs) are met.Technical Mastery: Advanced proficiency in Microsoft 365 (Outlook, Teams, Excel) and modern office management platforms.Strategic Mindset: A proactive approach with the ability to "see around corners" and solve problems before they escalate.Organization: Superior attention to detail and the ability to manage multiple high-priority tasks in a fast-paced environment.Independence: High level of autonomy and professional maturity to handle sensitive information and unexpected challenges.Availability: Ability to work from the Riyadh office 3 days a week.
