Our Lamar Corporate Real Estate Department in Baton Rouge, Louisiana is now hiring a new team member to help us bring outdoor advertising campaigns to life for brands in Baton Rouge, LA and the surrounding areas.The Administrative Specialist provides comprehensive administrative and operational support to the Corporate Real Estate Department. This role ensures the efficient management of office processes, supports real estate transactions, and maintains key financial and administrative systems. A Day In The LifeDepartment AdministrationProvide day-to-day administrative support to ensure efficient and effective departmental operations.Organize and prioritize large volumes of information, calls, and correspondence.Create, format, and maintain documents such as memos, letters, reports, and financial reporting.Perform general office tasks including scheduling, filing, copying, mailing, and ordering supplies.Assist with special projects and departmental initiatives as assigned.Accounting & Financial CoordinationMaintain department accounts receivable, including invoicing, collections, and updates to the Aged Trial Balance (ATB).Manage accounts payable by processing invoices, ensuring accurate coding, and coordinating with the Accounts Payable team to resolve issues.Update and maintain billing systems, including customer data, contracts, and account setup.Prepare weekly, monthly, and annual financial reports and reconciliations.Lease & Contract AdministrationAbstract lease agreements and maintain accurate electronic lease files.Track and manage critical lease dates such as expirations, renewals, and rate adjustments.Administer billing and payment processes for both landlord and tenant leases.Communicate with landlords, tenants, and internal teams to resolve lease-related questions or discrepancies.Audit lease files regularly to ensure compliance and accuracy.Real Estate Tax & Capital Expenditure SupportProcess and track real estate tax invoices for owned properties, ensuring timely and accurate payments.Maintain CapEx tracking spreadsheets; process and monitor related invoices.Assist with annual budget preparation and reporting for tax and capital expenditure accounts.Physical Demands And Work EnvironmentThe primary work environment for this position is the office.The physical demands for this position include light lifting, seeing (with a focus on reading, acuity, depth perception, and peripheral vision), sitting more than 50%, and talking.Nights spent traveling, away from home, are less than 10%.Who We AreFounded in 1902, Lamar Advertising Company is one of the largest outdoor advertising companies in the world.
